Role
Warwick Medical School is seeking an enthusiastic, self-motivated individual to fill the post of MB ChB Programme Coordinator. This role is responsible for providing high quality support for the management, administration and delivery of the department’s MB ChB programme.
The successful candidate will have a good standard of general education (A Level or equivalent) and will have experience of working as part of a team in a busy customer focused administrative environment. Excellent communication and organisation skills coupled with the ability to pay attention to detail are essential, as is the ability to demonstrate a good understanding of administrative processes. Experience of working in a student-facing role within Higher Education would be advantageous.
This role is advertised as a temporary contract for an initial period of 4 weeks.
This is a student facing role and you will be required to work a minimum of 3 days in-person on campus to support teaching delivery.
Duties and responsibilities
To provide day-to-day support and coordination for Phase II (Year 2) of the MB ChB, acting as the primary coordinator for our Academic Days programme and other Phase II teaching.
DUTIES AND RESPONSIBILITIES
• To act as first point of student contact for programme enquiries ensuring that they are dealt with efficiently and messages relayed promptly to the appropriate member of the team.
• To maintain student records, using software such as SITS and Tabula and electronic student files to ensure that student's records are regularly updated, in line with GDPR legislation.
• Supporting Academic colleagues with the organisation and delivery of Phase II teaching, including but not limited to; preparation of course materials, organise facilitators and maintain STP contracts and timesheet authorisation.
• Ensuring that the Phase II Moodle pages are kept up to date and accessible by students, staff and external contributors.
• Facilitating financial processes as required, such as purchase orders, expense claims and processing of student NHS bursary claim forms.
• Other administrative tasks to support the Phase such as absence recording, note taking, report writing and filing.
Skills and experience
• Educated to A-level standard or equivalent relevant experience.
• Substantial administrative experience, including organisation skills and ability to work on own initiative, managing multiple tasks and priorities with minimum supervision.
• Experience of working in a customer-focused office environment, with a high level of awareness and understanding of student concerns and of students' needs and expectations, and a commitment to providing an excellent level of service.
• Excellent interpersonal skills and the ability to work independently as well as part of a team, communicating effectively with colleagues
• Good numeracy skills, and the ability to use spreadsheets to accurately store, retrieve and manipulate data.
• An ability to work collaboratively and effectively with academic and administrative colleagues, and with colleagues outside the University to promote collegiality
• Excellent oral and written communication skills, with an ability to act discretely and in confidence with an understanding of data protection issues.
• Proficient IT skills including word processing, databases, spread sheets and presentation software and virtual learning environments.
• Experience of working within a HE or NHS environment would be advantageous.
