Role
The post holder will play a key role in leading, shaping and maintaining a professional and responsive support function for a complex network of internal and external stakeholders. This is a highly visible role that requires exceptional organisational and relationship management skills, contributing directly to the School’s strategic objectives and long-term success.
The School of Creative Arts, Performance and Visual Cultures (SCAPVC) brings together the disciplines of Film and Television Studies, History of Art, Theatre and Performance Studies, the Centre for Cultural and Media Policy Studies, and the Warwick Writing Programme. The School supports a large and diverse community of students, staff, alumni and external partners.
The role acts as a central coordination point for all marketing and student experience activities within SCAPVC, leading the delivery of a range of operational and strategic projects. Working closely with the Heads of Department, Discipline Directors and Senior Departmental Administrator, the postholder will take the lead in developing and implementing SCAPVC's student experience, recruitment, marketing, web and social media activities, while supporting effective staff communications, the maintenance of key School information and resources, and the coordination of School-wide reviews and initiatives.
SCAPVC also works in partnership with the London Film School (LFS) through collaborative academic provision. The postholder will act as the School's administrative point of contact for this partnership, supporting student administration, academic processes and liaison between the two institutions
Duties and responsibilities
Student Experience and Marketing:
• To lead the development and implementation of a strategic approach to SCAPVC’s marketing and recruitment activities. Working with HoDs, Discipline Leads, and the UoW marketing team to undertake market research, maintain a social media presence and support engagement with alumni.
• To support staff in all aspects of the organisation of Open Days, Welcome Week, Offer Holder Days and social events for current and potential students.
• To recruit, train, and manage SCAPVC’s population of Student Ambassadors for Open Days, Welcome Week and Offer Holder Days.
• To work closely with the SCAPVC Executive Assistant to oversee the purchase of refreshments from campus outlets for internal research and teaching events. To supervise the set up and clearing away of refreshments/provisions following best practice H&S food preparation guidelines.
• To update Department webpages as required, maintaining the departmental website newsfeed and events pages.
• To liaise with central university teams and services including marketing and admissions.
Staff Experience and School Communications
• To lead on the organisation and administrative support of School-wide staff events, meetings and communications activities as required.
• To act as a central point of coordination for School reviews, audits and periodic departmental exercises, collating information and liaising with academic and professional services colleagues to support submissions and visits.
• To work with colleagues across SCAPVC to ensure that key information, policies, procedures and guidance remain accurate, accessible and up to date
London Film School (LFS):
• To act as SCAPVC’s administrative contact for the Department’s collaboration with the London Film School (LFS).
• To register LFS students onto UoW modules, record marks on SITS and take formal minutes of exam boards.
• To participate in collaborative meetings and exam boards with LFS; occasional travel to London may be required.
Other Duties:
• To undertake such specific projects and duties as may reasonably be required by the Senior Departmental Administrator and Heads of Department.
• Any other additional duties commensurate with the role, such as providing support as part of the existing Professional Services team and where practical covering for staff absence.
Skills and experience
Essential Criteria
• Relevant experience of working in an office environment, preferably within the HE sector.
• Excellent communication skills, both written and verbal.
• Excellent interpersonal skills, including the ability to build relationships, respect confidentiality and an ability to deal with staff and students in a sensitive, professional manner.
• Strong organisational and planning skills. The ability to use initiative and to work quickly and accurately under pressure to cope with competing priorities.
• Experience of arranging events.
• Excellent IT skills, including MS Office and website content management, and the ability to learn new software packages.
• The ability to work independently and as a member of a team, collaboratively and effectively with academic and administrative colleagues, and with colleagues outside the University to promote collegiality.
Desirable Skills
• Experience of updating websites using Sitebuilder
Location
Combination of working at home and on main campus (likely 1 day at home, but this is subject to change)
