Role
To assist in the management and delivery of interior design and space planning advice and solutions for the Estates Interior Design, Furniture and Equipment service within defined cost, time and quality parameters for new builds, refurbishments and on-going replacements. This includes the delivery of FF&E and space planning projects, as well as day-to-day operational services including furniture, curtains, blinds, flooring and the re-use, recycle and disposal of internal FF&E stock to maximise sustainability. Projects undertaken will be within defined cost, time and Higher Education quality parameters for refurbishment, maintenance and new build scenarios.
Duties and responsibilities
Project Management
Manage and support a portfolio of medium-scale Interior Design, Furniture and Equipment (IDFE) projects, across maintenance, refurbishment and new-build programmes funded through revenue and capital budgets. Develop client briefs; prepare drawings, specifications and consultant or supplier briefs; and, develop furniture specifications and space plans. . Ensure projects meet University requirements for quality, budget, programme, sustainability, accessibility, health and safety, environmental compliance and whole-life cost. Identify and manage risks, prepare estimates, control budgets, support procurement and installation, administer contracts, supervise works and maintain effective communication with stakeholders and contractors.
Interior Design and Space Planning
Provide a professional interior design and space-planning service from feasibility and concept stages through to completion. Work with clients and stakeholders to develop practical, inclusive and sustainable solutions. Produce design reports, studies, presentations, drawings, specifications and visualisations in accordance with Estates and financial procedures while managing several projects concurrently.
Service and Asset Management
Support the effective reuse, recycling and disposal of furniture, fixtures and equipment in accordance with University policy and the waste hierarchy. Assist with audits of IDFE assets in common areas and centrally timetabled spaces, helping to plan maintenance and timely replacement. Report non-IDFE faults to the appropriate Estates teams. Provide technical advice to the University community, guide Assistant IDFE Officers and deputise for the Interior Design, Furniture & Equipment Manager when required.
Financial Responsibility
Manage the FF&E elements of allocated revenue, maintenance and capital projects under the Manager’s guidance. Maintain purchasing audit trails, manage stock to maximise reuse, exercise delegated financial control and ensure budgets are not exceeded. Escalate financial risks appropriately. Hold responsibility for individual project expenditure of up to £300,000 and contribute to the team’s delivery of more than £1.7 million in FF&E projects and services.
Operations, Planning and People
Work within the Estates project-delivery structure and maintain effective links with operational teams, colleagues, suppliers and contractors. Plan and coordinate internal and external resources for short and longer-term projects, ensuring decisions align with Estates and University strategies. Provide guidance and occasional supervision to Assistant IDFE Officers and administrative colleagues, working autonomously while remaining accountable to the IDFE Manager.
Decision Making and Site Duties
Make informed decisions concerning client requirements, space use, product selection, resources, savings, timelines, installation schedules, sustainability and accessibility. Review requirements, consult stakeholders, assess programme impacts and consider alternatives before making contentious or cost-reduction decisions. Attend and, where necessary, oversee project work on construction sites and meet external organisations off site.
Skills and experience
- Demonstrable experience of using Computer Automated Design (CAD) packages. IT skills with experience of using Microsoft Office applications (Word, Excel, Access, MS Project and Outlook).
- Proven experience of designing and delivering interior design and space planning schemes, including the production and assessment of: drawings, specification documents, presentations and budget costings.
- An understanding of the delivery of projects within a Higher Education environment including the potential risks and issues both on a physical and financial level associated with such a delivery.
- Excellent design and drawing skills using a variety of software (e.g. AutoCAD, InDesign, SketchUp & PhotoShop) and the ability to present these effectively.
- An awareness of and commitment to utilising sustainable practise, such as re use and recycling of assets.
- FF&E related compliance issues, including Health and Safety and accessibility, such as the creation, and assessment of, RAMS and asbestos awareness.
- Ability to develop internal and external relations and to negotiate and persuade at a high level using excellent interpersonal and communication skills, at all levels.
- Ability to advise internal and external stakeholders within the areas of expertise to ensure compliance with University procedures, regulation and legislation.
- A degree of competency in FF&E procurement and project management and FF&E design standards.
- Willingness to work flexibly, as and when required.
- Ability to prioritise work under pressure.
- Up-to-date knowledge of sector trends, construction processes and FF&E design standards and the application of these.
- A first degree, qualification or equivalent work-experience in a relevant field, such as Architecture or Interior Design.
