Role

We are looking for an organised and proactive Operations Administrator to join the University of Leicester’s Professional Services team. You will provide a first-class service to College and School users, act as a key point of contact between the School and central University functions, and help maintain effective day-to-day operations. You will work collaboratively with colleagues across IT, Estates, HR, LTRS and the wider College while supporting cross-functional priorities.

This varied role offers the opportunity to take ownership of operational activities, respond constructively to changing requirements and contribute ideas that improve services. You will build effective working relationships with academic and professional services colleagues, senior leadership, contractors, suppliers and visitors.

Duties and responsibilities

You will support recruitment and onboarding by helping to arrange access, office space, IT and equipment for new and existing personnel, as well as leading the health and safety element of induction. You will coordinate space planning and office moves, administer Salto access and support building changes. You will also act as Building Safety Officer and Departmental Safety Officer, undertake inspections, maintain records and logs, support Display Screen Equipment assessments, assist with audits and workplans, and act as a Fire Warden where required.

As the School’s lead Departmental IT Co-ordinator, you will help ensure that University IT policies are followed and coordinate hardware, software and operational requirements with central IT services. You will maintain appropriate shared-drive records in line with data protection requirements, monitor actions through to completion, compile and analyse management information, service committees and meetings, draft correspondence, identify improvements and provide flexible administrative cover when required.

Skills and experience

You will be educated to A-level standard or equivalent and have relevant administrative experience, including experience of maintaining accurate and complex records. You will be confident taking responsibility, working independently and using initiative and judgement to resolve unforeseen issues. Experience of supporting multifunctional teams in a changing and busy environment, together with an understanding of data protection and the ability to handle confidential matters sensitively, is essential.

You will have excellent written and verbal communication, customer service, organisational and IT skills, including proficiency with Microsoft Office. You should be able to work collaboratively, manage competing priorities accurately, take a proactive and solution-focused approach, and act with discretion and diplomacy. Experience relating to health and safety, facilities, space management or relevant University systems and procedures would be advantageous.
