Description

Role

Responsible for the provision of high-quality administrative support for business processes in the School of Education, Learning and Communications Sciences (SELCS). Working both in a team and independently, this post will provide day-to-day administrative support for business administration processes including, HR, Finance and infrastructure processes and will deliver excellent customer service by providing information, guidance and support for students, staff and external partners and organisations. The post will also provide administrative support to heads of each unit of SELCS and senior managers in the School.

Duties and responsibilities

General Responsibilities

  • Work independently and collaboratively, taking ownership of assigned tasks while ensuring compliance with University policies, procedures, regulations, quality standards and deadlines.
  • Support continuous improvement initiatives, including the implementation of new processes and systems.
  • Maintain accurate, secure records in line with regulatory and legal requirements.
  • Produce reports and data to support audits, inspections and management activities.
  • Ensure information, documents and intranet content are accurate, current and accessible.
  • Develop knowledge of relevant regulations, quality assurance requirements and specialist areas to provide guidance to students, staff and external stakeholders.
  • Respond to enquiries efficiently and professionally, escalating where appropriate.
  • Participate in training and development activities.
  • Provide secretariat support for meetings and events, including scheduling, minute-taking and action tracking.
  • The post holder will work within the School’s Business Administration function and may be reassigned across teams to meet business needs, support resilience and broaden experience.

Finance

  • Process financial transactions accurately and in accordance with Financial Regulations.
  • Oversee sales and purchase orders within SAP and OPeRA, ensuring appropriate coding and VAT treatment.
  • Check and receipt purchase invoices.
  • Review travel and subsistence claims for accuracy and compliance, allocating correct cost and project codes.
  • Maintain supplier and customer records.
  • Produce financial reports from SAP and other systems.
  • Provide guidance on financial policies and procedures, referring complex matters as required.
  • Manage conference and travel expenditure requests, sourcing cost-effective travel and accommodation.
  • Procure non-standard items within approved budgets and procedures.

 

Human Resources Administration

  • Provide administrative support for HR activities, including recruitment, selection, interviews, probation reviews, leave, training and absence records.
  • Support the recruitment and administration of temporary staff, including contract requests and timesheet checks.
  • Assist with staff induction processes.

 

Infrastructure Management

  • Support the management of facilities, equipment and physical space requirements.
  • Maintain asset registers.
  • Coordinate the ordering, distribution and disposal of equipment, furniture, stationery and specialist teaching resources.
  • Obtain quotations for minor works, repairs and maintenance.
  • Support the setup of equipment and materials for specialist teaching sessions.
  • Assist timetable planning by coordinating resources, technical support and facilities with relevant colleagues.

Support to the School Leadership Team

  • Provide administrative support to School Leadership Team members, including diary management and meeting coordination.
  • Undertake other duties appropriate to the grade and business needs.

Skills and experience

Essential

1. Educated to at least A level standard or equivalent with English and Maths qualifications to a minimum of GCSE level standard grade

2.  Relevant, applied experience in a general/ finance administration position

3. A good general knowledge and understanding of a variety of finance functions and office systems

4. Excellent interpersonal skills, with the ability to act with tact and discretion

5. Excellent IT skills to include a high level of competency in Microsoft Outlook, Excel and Word

6. Ability to act independently on own initiative but also to work as part of a team, when required

7. Ability to work quickly and accurately under pressure and to tight deadlines.

Desirable

1. Hold a bookkeeping or financial qualification

2. An understanding of the University’s financial procedures and regulations

3. Experience of using SAP or a similar finance system
