Role
To organise and provide high quality administrative support for the management, administration and delivery of the Warwick Business School’s undergraduate programme.

Duties and responsibilities
1. Provide a high-quality student service provision to WBS undergraduate students, being responsive and customer focussed in all interactions with students whether face-to-face, by phone or through e-mail and other electronic means. Act as the students’ first point of contact for all enquiries relating to course matters.
2. Administer and develop efficient office procedures, including maintaining manual and electronic files, lists, forms and other course administration information/questionnaires, ensuring that appropriate changes are made and that records are up to date.
3. Provide detailed information and assistance to answer both standard and non-standard questions on all aspects of coursework, procedures, regulations and welfare from undergraduate students based in WBS on the School’s suite of single honours and joint honours undergraduate courses (>2000 students), exchange students (>100 students), and those from other departments taking modules in WBS (>6000 students).
4. Manage the collection, input into the School’s Management Information System (MIS) and checking of module information (>120 modules) for the preparation of programme handbooks and online module application via my.wbs, liaising with course directors and module leaders in the School and in other departments to ensure accuracy and timeliness of information.
5. Manage the operation of systems and procedures for the collection and marking of all undergraduate assessed work, inputting marks on to the MIS and releasing appropriately to departments and students, including the release of marks for exchange students to the Student Mobility Team.
6. Maintain student database records, monitor the collection of information, identify errors and deficiencies and provide statistical data and analyses relating to the Programme required by the School/University or outside bodies.
7. Assist in the delivery of key student events including WBS Undergraduate Open Days, course events and other student engagement activity.
8. Take ownership for key operational project activity and assisting senior colleagues with projects and work streams where required.
9. The post holder may be asked to work occasional weekends and evenings to support Undergraduate events.
Skills and experience
Essential:
- Good (grade A or B) GCSE Level English Language and Mathematics
- A-Level or equivalent standard.
- Previous experience and knowledge of clerical, administrative, organisational and other systems, and experience of working in a busy office for a number of people
- Good IT skills including word processing, databases, spreadsheets, websites, email and social media.
- Excellent organisational skills
- Good verbal and written communication skills
- Experience of working to tight deadlines and working flexibly to juggle the demands of various tasks
- Ability to handle highly confidential material with discretion and to deal effectively with sensitive matters
- Ability and willingness to use initiative and prioritise weekly and termly tasks
- Ability to work both independently and cooperatively within a team. Able to contribute to a successful team working environment.
- Proven experience of customer service, preferably in a student-facing environment, or a demonstrable passion for delivering excellent service
Desirable:
- Previous knowledge or experience of studying or working in higher education
