THE ROLE

The post holder will foster strong working relationships and effective communication channels. This role requires flexibility, as the Student Hub Assistant provides advice and guidance across a broad range of topics.

  • The working hours for this role will be 37 hours per week - primarily campus based
  • The start date will be as soon as possible with an expected end date of June 2027.

Duties and responsibilities
The Student Hub Assistant plays a crucial role, providing advice, guidance and support for a diverse portfolio of applicants and students ensuring appropriate queries are resolved at the first point of contact. This role involves continuous face-to-face contact in a busy environment, liaising with appropriate teams across the University, and maintenance of student records to ensure the highest level of data quality. The post holder will work closely with the Student Success Advisors, working collaboratively with Teams across the University, such as Careers, Registry, Money Advice, Student Advice Centres, Library services, Wellbeing and academics. The role includes processing of forms and uploading documents onto University systems, as well as supporting the monitoring of student engagement as required.

 

Advice and support:

  • Provide advice and guidance to full and part time, home and international undergraduate and postgraduate students (and applicants), covering general advice for a broad range of topics in an empathetic and confidential manner. This work is to be completed directly from the Student Hub and will be the main focus of the role 
  • Responding to e-mails and telephone calls to support the work of the Student Hub in an efficient and timely manner ensuring targets are met
  • Liaise with other support teams in resolving student queries, and where appropriate referring/escalating and/or booking students into other services across the University
  • Work closely with the Student Success Advisors to support with targeted student contact as required, may include events and telephone reach outs

Administration

  • Maintaining up to date records for student information, using systems including SAP, C4C and Target Connect
  • Processing forms and uploading to systems
  • Administration support for Student Success Advisor targeted student work as required

Skills and experience

  • 5 GCSEs (or equivalent) including Maths and English
  • Experience of providing administrative support within a busy and fast paced environment.
  • Experience of data input and maintenance    
  • Experience of using CRM systems, Outlook, Excel and Teams (or similar)
  • Experience of providing customer service and advice & guidance 
  • Knowledge and awareness of working with confidential and sensitive information and ability to process information in line with GDPR and University polices.
  • Competent and demonstratable use of Microsoft 365 applications including Word, Outlook, Microsoft Teams, Excel and SharePoint.
  • Ability to offer advice and guidance in a compassionate, empathic, non judgmental manner to a wide demographic of students
  • Effective team working
  • Excellent written and verbal communication skills, with ability to build rapport quickly
  • Ability to remain calm and effective in a high demand service
  • A high level of administrative and organisational skills
  • Work with high attention to detail whilst adhering to deadlines
  • Demonstrate a flexible and responsive approach to changing priorities
