Description
Role
Project manage the implementation and launch of WBS’s new global alumni engagement app, coordinating supplier delivery, internal stakeholders, data, testing and alumni working groups. Ensure a controlled soft launch in November 2026 and successful full launch on 23 January 2027, establishing robust governance, adoption, service management and continuous improvement arrangements.
Duties and responsibilities
Service Delivery & Operational Management (30%)
- Lead implementation, managing milestones, risks, issues & decisions for the November 2026 soft launch & January 2027 launch.
- Coordinate platform configuration, data preparation, onboarding, testing, QA & launch readiness across web & mobile.
- Establish governance, reporting & escalation, providing updates to sponsors & stakeholders.
- Plan & manage pilot activity, including testing, defects, retesting & sign-off.
- Oversee transition to live service, ensuring processes, support, moderation, reporting & documentation are in place.
- Monitor adoption, engagement & support metrics, recommending improvements.
Supplier Relationship, Financial Management, Procurement & Compliance (15%)
- Act as primary supplier contact, coordinating delivery, actions, dependencies & issue escalation.
- Monitor supplier performance against contracts, service levels & launch commitments.
- Work with Procurement, Legal, Information Security, Data Protection, Finance & technical teams to ensure compliance.
- Maintain records of changes, decisions, risks, costs & approvals, controlling scope changes.
- Support budget monitoring, invoice validation & identification of cost pressures.
- Ensure effective handover of supplier & service responsibilities.
System Development & Implementation (30%)
- Translate MVP requirements into an implementation backlog & delivery plan, protecting critical scope.
- Coordinate platform configuration, permissions, communities, events, moderation, reporting & administration.
- Work with technical teams & suppliers to validate & securely load alumni data.
- Lead user acceptance, accessibility & usability testing, ensuring issues are resolved before launch.
- Coordinate administrator training, knowledge transfer & service guidance.
- Capture post-launch requirements & lessons learned for Phase 2.
Stakeholder Management (20%)
- Build relationships across WBS & the University, including Alumni Engagement, Marketing, Careers, Technology, Finance, Procurement, Legal, Information Security & Data Protection.
- Establish & coordinate alumni working groups, ensuring clear objectives, participation & feedback.
- Maintain engagement & communications plans to support consultation & decision-making.
- Facilitate workshops, demonstrations, testing & project meetings with internal & external stakeholders.
- Gather & prioritise stakeholder/alumni feedback while managing expectations & scope.
- Identify risks, dependencies & conflicting requirements, securing decisions through influencing & negotiation.
Research & Professional Development (5%)
- Maintain knowledge of best practice in alumni engagement, digital communities & service implementation.
- Use analytics, feedback & user insights to improve engagement, retention & user experience.
- Benchmark sector platforms to inform Phase 2 priorities.
- Keep up to date with accessibility, privacy, data protection, community safety & responsible AI.
- Produce project reviews, lessons learned & continuous improvement recommendations.
- Undertake training to develop expertise in the platform, project tools & University processes.
Skills and experience
Qualifications
A good honours degree or equivalent professional qualification and substantial relevant experience – E
Professional Qualifications
Project Management qualification (PRINCE2, Agile, APM or equivalent) – D
Relevant digital, change management or service management qualification – D
Previous Experience
Significant experience of project managing digital platform, SaaS, CRM, app or systems implementations to fixed deadlines – E
Experience building effective relationships with senior internal stakeholders, external suppliers and end-user groups across multiple disciplines – E
Experience of managing user acceptance testing, pilots, issue resolution and launch readiness – E
Experience of supplier/vendor management, including monitoring delivery against agreed milestones, service levels and contractual commitments – E
Experience of engaging, coordinating and motivating volunteer, customer, member or alumni working groups – E
Experience within Higher Education, alumni engagement, membership/community platforms or a comparable complex organisation – D
Knowledge & Skills
Excellent project planning, organisation and prioritisation skills, with the ability to manage multiple interdependent workstreams, risks and deadlines – E
Strong stakeholder management, influencing, negotiation and facilitation skills, including confidence working with senior stakeholders – E
Excellent written and verbal communication skills, with the ability to translate technical information for non-technical audiences – E
Strong analytical and problem-solving capability, using evidence, user feedback and data to make practical recommendations – E
Understanding of data migration, user onboarding, privacy, information security, accessibility and digital service considerations – E
Ability to design and facilitate workshops, demonstrations, testing sessions and training for varied audiences – E
Confidence using project management, collaboration and reporting tools and the capacity to learn a new platform rapidly – E
Knowledge of alumni/community engagement, CRM, mobile apps or digital engagement platforms – D
Location
Hybrid- 2 days a week on the Warwick campus in Coventry and 3 working from home
