Role
This busy role supports the programmes within the department of Psychology.
It is responsible for supporting the Programmes team in providing consistent and high-quality administrative support for courses and students within the department. This will involve acting as the first point of contact for both students and staff, and working closely with other key staff members, including those from departments across the university and central university teams. The post holder will support the team in inputting student information, such as module choices, and answering student queries particularly in the initial entry stages. They may support events such as welcome week and other introductory student events, and assist in preparation for relevant exam boards.
The post holder will be responsible for maintaining accurate records and up to date information on modules, assessments and processes. Supporting a small team of administrators, this is an opportunity to really get involved with the department. The post holder will need to deliver excellent customer service and work effectively both individually and as part of a team supporting the department as required.
Duties and responsibilities
- Assist in the support of the departmental open and offer holder days as required.
- Assist in the support the departmental welcome week arrangements as necessary.
- Maintain accurate and up to date student data in the relevant student databases and systems, in line with University information security policies and Data Protection legislation. ·
- Manage programme and module-related issues including student queries, module registration, set up of assessment submissions, dissemination information to students and staff. ·
- Act as the primary contact for any student queries, providing advice and instruction as needed in liaison with appropriate staff.
- Maintain accurate and up to date programme information.
- Maintaining up to date and accurate student monitoring, supporting academic staff and disseminating information and instructions as required.
- The post holder may support the department in other duties as required, such as acting as Committee Secretary, providing data for any reports as required and assisting in content management for web pages in conjunction with relevant university and departmental staff. ·
Skills and experience
- Educated to A Level or equivalent with GCSE grades A-C in English and Maths or previous work experience in a customer-focused, fast paced office environment.
- The ability to use initiative and to work quickly and accurately under pressure and to balance competing priorities.
- Excellent written and verbal communication skills with the ability to communicate in a calm, professional and sensitive manner at all times to people at all levels
- Excellent organisational skills with the ability to work flexibly and to manage and prioritise own workload and take direction from more than one person.
- Excellent interpersonal skills, diplomatic skills of a high order and ability to work with discretion on confidential matters.
- Excellent administrative, clerical and IT skills, particularly use of Microsoft Word, Excel and Outlook.
- Ability to work both as part of a team and independently, and to build strong working relationships with colleagues
