Role
Provide temporary administrative and secretarial support to the Head of Department in the Department of Psychology. The post will support diary management, departmental meetings, correspondence and communications for a period of 2–3 months.

Duties and responsibilities

  • Provide PA, diary and administrative support to the Head of Department.
  • Handle correspondence, including confidential and sensitive information, and draft, proof-read and circulate documents.
  • Arrange and coordinate meetings, committees and events; prepare agendas/papers, take minutes and manage Microsoft Teams/hybrid arrangements.
  • Organise external seminars, including speaker travel, accommodation and expenses.
  • Maintain departmental contact lists, committee records and filing systems
  • Maintain website and digital communications, including news/events updates, display screens and the weekly staff bulletin.

Skills and experience

  1. Minimum A-level or equivalent, including GCSE Maths and English at grade C or above.
  2. Sufficient relevant administrative, secretarial or PA experience, preferably in a busy academic or customer-facing environment.
  3. Excellent organisation, diary and meeting/event scheduling skills, with the ability to manage competing priorities and meet deadlines.
  4. Good working knowledge of Microsoft Office, including Word, Excel, PowerPoint and Outlook; experience with electronic records, databases, Teams and website/content management.
  5. High level of accuracy and attention to detail, with discretion when handling confidential and sensitive information.
  6. Strong written and verbal communication skills and the ability to liaise confidently with staff, students and internal/external stakeholders.
  7. Proactive, flexible and able to use initiative and work effectively under pressure.

Location
University of Warwick campus, some hybrid working possible subject to departmental agreement.
