Role
To support the smooth and efficient delivery of Leadership and Management Development programmes and services. Acting as the lead systems and administrative support across a range of short learning events and programmes. In addition, the role holder/s will maintain, report, and analyse data, use technology to support learning, act as a point of contact for queries, track, record, and process spend and ensure data storage and systems meet mandatory and regulatory requirements (including GDPR).
Duties and responsibilities
- Supporting the administration of essential Leadership and Management Development initiatives, encompassing standard and bespoke programs, project oversight, and comprehensive support for the wider Leadership and Management Development offerings.
- Liaising with Leadership and Management Development colleagues to plan and schedule activities, enabling effective use of resources and minimising duplication of workloads.
- Support on LMS course management by creating LMS entries for each event, track attendance for all LMD and RAS courses, and update course records.
- Administering evaluation process, reviewing, identifying, and highlighting themes and/or areas for further investigation.
- Overseeing and managing the distribution and administration of external software tools, including Insights and Strengths Scope reports. Resources
- Managing and responding to queries received via email resource accounts.
- Conducting effective initial triaging of queries to ensure timely resolution aiming for a single-touch response whenever possible, or seamlessly redirecting to the appropriate LMD team member.
- Supporting wider LMD team members, ensuring that queries are addressed and team members receive the necessary support. Data & Learning Technology
- Maintain accurate training records including periodic reviews of records in line with mandatory and regulatory requirements (including GDPR).
- Manage user data requests including queries, troubleshooting, report generation, resolving basic data errors.
- Provide training data reports, including management LMS data to track KPIs.
- Webpage updates – amend text, reconfigure pages (e.g. to include an image).
- Set-up and manage non-standard online learning events, e.g. using Teams. Provide technical support to ensure online events run smoothly and any issues are resolved swiftly. Finance
- Setting up new providers including collecting information and completing forms required.
- Keeping accurate records of allocated and actual spend. Highlighting concerns and opportunities for improvement. Running monthly and ad hoc SAP reports.
- Raising purchase orders, processing invoices and undertaking recharges in an accurate and timely manner.
- Accurately using SAP and the LMD budget spreadsheet as and when required

Skills and experience
- GCSE Maths and English at grade A*- C/9-4 or equivalent.
- Ability to work independently and as part of a team, building effective working relationships.
- Excellent customer service and interpersonal communications skills to liaise effectively at all levels within the University.
- Excellent administrative and organisational skills with the aptitude to balance competing priorities, working quickly and accurately under pressure to meet tight deadlines.
- Working in a busy, diverse and changing administrative environment.
- Excellent IT/technology skills, including skilled use of Outlook, advanced knowledge in MS Office packages including Word, Excel, PowerPoint, Teams, website management and the ability to use databases and systems.
- Operating in an environment where customer service, time management and the use of technology are of the utmost importance.
