Role
About the Role
- Approximately 12 room monitor supervisors will be recruited this year to oversee the daily checking of UCL teaching spaces.
- Supervisors manage a team of 6-8 room monitors within an allocated campus zone.
- One supervisor position is dedicated to supporting room monitors based in Bidborough House.
- Responsible for ensuring teaching spaces or meeting rooms are checked consistently each weekday between 08:00 and 09:00.
- Full training will be provided.
- The service operates during Terms 1 and 2, with a reduced service during Term 3.
- This role is intended for experienced room monitors or previous supervisors who can work independently, support colleagues and maintain high standards of service delivery.
- Supervisors are expected to be on site each day between 08:00 and 09:00.
Eligibility
To apply, you must:
- Be a current UCL student, including PhD students.
- Have completed at least one year of service as a room monitor.
- Be familiar with room infrastructure, facilities, IT and audio-visual equipment checks.
- Have a strong understanding of the Room Checker Management System (RCMS) and associated reporting processes, (not applicable to Bidborough House.)
Important Updates for Returning Room Monitors and SupervisorsIf you have previously worked as a room monitor or supervisor, please take note of the following changes for this year's programme:
Campus Coverage
- In previous years, roles were available across three campuses: Bloomsbury, Stratford and North London.
- From this year, there will be no Room Monitor or Supervisor roles at Stratford. This is because IT and AV checks at Stratford are now automated.
- Estates checks at Stratford will continue to be carried out by the site's management company.
Changes to Room Checks
- Many teaching spaces across the Bloomsbury and North London campuses now have automated IT and AV monitoring.
- In these spaces, Room Monitors will focus on checking the condition of teaching rooms and reporting any issues identified.
New Reporting Equipment
Teaching spaces. In previous years:
- IT and AV checks were completed using a UCL-issued test kit.
- Issues were reported using the RCMS app on personal smartphones.
- Test kits were collected from and returned to the IT Clinic in the DMS Watson Science Library.
Unfortunately, a significant number of test kits were not returned each year, resulting in considerable replacement costs for UCL.
Tablet Allocation and ResponsibilityTo improve the process:
- Each room monitor and supervisor will now be issued with a UCL tablet, (except for the Bidborough House supervisor.)
- The tablet will be used to access the RCMS app and report issues.
- Tablets can be collected from the IT Clinic at DMS Watson.
- Your name and UPI number will be recorded when a tablet is issued.
Important
Room monitors and supervisors will be personally responsible for the tablet issued to them.
Failure to return a tablet at the end of your assignment may affect your eligibility for future temporary employment opportunities with UCL.
Duties and responsibilities
Key Responsibilities
Support and Fault Management
- Provide day-to-day support to allocated room monitors.
- Assist with resolving simple room, facilities, IT and AV faults.
- Escalate complex or recurring issues to the appropriate support teams through RCMS.
- Ensure faults are reported accurately and promptly.
Compliance and Quality Assurance
- Ensure room monitors complete checks and submit reports while physically present in rooms.
- Monitor compliance with RCMS reporting procedures where applicable.
- Promote accurate and timely completion of room checks.
- Support the maintenance of service standards across the allocated zone.
Team Support and Engagement
- Meet room monitors face-to-face on a regular basis to provide guidance and support.
- Attend campus in person each day.
- Act as the first point of contact for operational queries.
- Maintain effective communication with Room Monitors throughout the year.
- Provide practical route-based training for replacement room monitors throughout the year. Training must be undertaken between 08:00 and 09:00 and no additional hours may be claimed for this time.
- Demonstrate how to complete room checks and use RCMS.
- Explain role responsibilities, reporting requirements and service expectations.
- Support new starters as they become familiar with their routes and responsibilities.
Attendance Monitoring and Cover
- Monitor attendance and manage room monitor absences.
- Receive and review absence notifications from room monitors.
- Undertake room checks where a room monitor is absent for two or more consecutive days.
- Escalate recurring attendance concerns to management and recommend appropriate actions.
- Respond to management queries regarding room monitor performance and attendance.
Training
- Full training and ongoing support will be provided to ensure supervisors are fully equipped to succeed in the role and understand all expectations and responsibilities.
Commitment Required
- Working hours are 08:00-09:00 each weekday during teaching terms.
- Attendance at every scheduled shift is essential to ensure continuity of service.
- Applicants should carefully consider academic commitments, placements and other responsibilities before applying.
- The role requires more than remote communication; regular in-person engagement with room monitors is expected.
- This position is not suitable for applicants who cannot commit to consistent attendance throughout the academic year.

Pay and Registration
- £16.76 per hour plus holiday pay.
- All training time is paid.
- Employment is provided through Unitemps, UCL's on-site temporary staffing agency.
- Registration with Unitemps, including Right to Work verification, must be completed before employment can commence.
- Weekly timesheets must be submitted through Unitemps.
- Payment is made at the end of the following month.
