Role
******Ringfenced to LJMU Students and Graduates (within the last 2 years ONLY)****** 

 
To act as the first point of contact for face to face, telephone and email enquiries in relation to placement learning support to include day to day liaison with students, external agencies and other University departments. To process pre-placement paperwork and provide administrative support within the Work Based and Placement Learning Team, including supporting activities to monitor the quality of placements, audit and evaluation processes.

Duties and responsibilities

  • To provide a high-quality accessible customer focused service to meet the needs of students, staff and stakeholders. 
  • Responsible for processing pre-placement paperwork across a variety of programmes. Liaise with placement areas, academic teams and students in relation to placement arrangements after due consideration of health and safety dcuments, professional body requirements and safeguarding checks 

  • Setting up and arranging DBS checks for students where required on placements.   

  • Maintenance and use of associated IT systems to support placement learning including, Student Information System (SIS) and Placement CRM. To include the preparation and maintenance of practice related records, monitoring attendance (to include sickness and absence). 

  • Assist the Work Based Learning Officers in the planning of placement experiences for various programmes and modules across the HITS faculty. 

  • Liaise with the programme admin team/programme manager in relation to student’s suspension/resumption, and the processing of documentation in relation to this. 

  • To assist in the implementation of new procedures and processes as a result of change in external/university policies. 

  • Ensuring all checks are completed in relation to international placements, including compliance with procedures for international students completing placements abroad, the LJMU Work-based and Placement Learning Policy and professional body requirements. 

  • To service committees as directed by line manager and attend internal and external meetings as and when required. Provide support for events, and to record attendance and manage database system to import and export data. 

  • Any such duties commensurate with the grade, as may be deemed necessary by the Work Based and Placement Learning Team Manager. 

Skills and experience

Essential Factors 

Five GCSE passes, including Maths and English (Grades A* - C) 

Good interpersonal skills 

Able to work under minimum supervision and as part of a team. 

Ability to work under pressure to strict deadlines. 

Excellent written and oral communication skills 

Discretion, tact and diplomacy 

Able to assimilate and present data with accuracy and attention to detail 

Capable of working collaboratively with people across the University in a professional manner to provide a seamless and professional administrative service. 

Experience of dealing discretely with confidential and sensitive information 

Ability to work flexibly 

Willing to participate in training and development programmes appropriate to the needs of the post. 

Ability to prioritise workload and multitask 

Good organisational skills 

Good keyboard skills 

Proficiency in the use of Microsoft office, Outlook, Word, Excel, 

Databases with the ability to produce clear and concise information.
