Role

About the Role

  • This year we will recruit a team of approximately 60 room monitors to support the smooth operation of UCL's centrally bookable teaching spaces. Room monitors carry out daily checks of designated teaching rooms each morning during teaching periods in Terms 1 and 2, helping to ensure spaces are ready for use and that any issues are identified promptly. Participation during Reading Weeks is optional.
  • In addition, we recruit four room monitors specifically to support meeting room checks within Bidborough House.
  • To provide day-to-day oversight and support, we also recruit 12 room monitor supervisors. Supervisors are responsible for overseeing room monitors, providing guidance, conducting regular in-person meetings, and helping to maintain service standards across the estate. To be eligible for a supervisor position, candidates must have completed at least one year of service as a Student Room Monitor.

Important Updates for Returning Room Monitors and SupervisorsIf you have previously worked as a room monitor or supervisor, please take note of the following changes to this year's programme:

Campus Coverage

  • In previous years, roles were available across three campuses: Bloomsbury, Stratford and North London.
  • From this year, there will be no room monitor or supervisor roles at Stratford. This is because IT and AV are now automated.
  • Estates checks at Stratford will continue to be carried out by the site's management company.

Changes to Room Checks

  • Many teaching spaces across the Bloomsbury and North London campuses now have automated IT and AV monitoring.
  • In these spaces, Room Monitors will focus on checking the condition of teaching rooms and reporting any issues identified.

New Reporting EquipmentIn previous years:

  • IT and AV checks were completed using a UCL-issued test kit.
  • Issues were reported using the RCMS app on personal smartphones.
  • Test kits were collected from and returned to the IT Clinic in the DMS Watson Science Library.

Unfortunately, a significant number of test kits were not returned each year, resulting in considerable replacement costs for UCL.

Tablet Allocation and Responsibility

To improve the process:

  • Each room monitor and supervisor (excluding Bidborough House recruits) will now be issued with a UCL tablet.
  • The tablet will be used to access the RCMS app and report issues.
  • Tablets can be collected from the IT Clinic at DMS Watson.
  • Your name and UPI number will be recorded when a tablet is issued.

Important

Room monitors and supervisors will be personally responsible for the tablet issued to them.

Failure to return a tablet at the end of your assignment may affect your eligibility for future temporary employment opportunities with UCL.

  • Bidborough House recruits will be issued with a loan laptop that is used whilst on site and returned at the end of each shift.

Room monitors play a vital role in ensuring UCL's teaching and meeting spaces are ready for use each day. Working as part of a team, you will carry out daily inspections of allocated rooms, identifying and resolving simple issues where possible and reporting faults that require specialist attention.

You will support the delivery of a reliable learning and teaching environment by checking room facilities, IT equipment and audio-visual systems before teaching begins each morning.

Duties and responsibilities

Key Responsibilities

Teaching Spaces

As a room monitor, you will:

  • Test IT and audio-visual equipment, including PCs, projectors, microphones, visualisers and laptop connection points.
  • Resolve straightforward technical issues, such as replacing microphone batteries or returning equipment to charging stations.
  • Record findings using the Room Checker Management System (RCMS) via a university-provided tablet.
  • Report faults requiring further investigation or repair to the appropriate support teams.
  • Ensure all checks are completed accurately and consistently in accordance with established procedures.
  • Inspect allocated teaching rooms each morning before the start of teaching.
  • Check room facilities and identify any defects, damage or health and safety concerns.
  • Resolve simple issues where possible, for example removing obstructions from fire exits.
  • Record findings using the Room Checker Management System (RCMS) via a university-provided tablet.
  • Report faults requiring further investigation or repair to the appropriate support teams.
  • Ensure all checks are completed accurately and consistently in accordance with established procedures.

Bidborough House Meeting Rooms

As a room monitor, you will:

  • Verify that meeting room technology is operational.
  • Ensure rooms are tidy, presentable and ready for use at the start of the day.
  • Conduct checks of IT equipment at desks in open plan office areas.
  • Report any faults or room issues through the appropriate channels.

Training and Support

Successful applicants will receive comprehensive on-campus training before starting the role. You will follow a structured checking process designed to ensure that all room facilities and equipment are inspected consistently.

You will be assigned a route of rooms to check each day and will work under the guidance of a room monitor supervisor. Supervisors are experienced former room monitors who provide day-to-day support and assistance.

Working Pattern and Commitment

This role is designed specifically for students and provides an opportunity to work around studies while contributing to the campus community.

The working hours are strictly 08:00-09:00 each weekday during teaching terms. As teaching activities begin at 09:00, there is no flexibility regarding start or finish times. We are looking for applicants who can commit to working every scheduled shift. Bidborough House checks are undertaken throughout the year.

When considering applying for this role, please ensure you are confident that you will work each morning as it is vital the service is delivered with continuity. It is not acceptable to conduct checks only a couple of times a week. Recent experience has shown that students in some departments may underestimate their course workload and off campus work placements, resulting in only a few room checks being conducted each week. If you don’t think you can be available for every shift, please do not apply for this role.

A reduced service normally operates in teaching spaces during Term 3. Staff required during this period will be contacted during the latter part of Term 2.

In addition to regular room checks, there may occasionally be opportunities to undertake extra paid work, including:

  • Assisting with computer installations.
  • Conducting equipment audits.
  • Supporting room setup and furniture reconfiguration projects.
  • Assisting with other technical operations activities.

Skills and experience

Essential Criteria

  • Experience using some of the following technologies in a study, work or home environment: PCs, Macs, Microsoft Office applications, microphones, audio equipment, projectors and presentation technology.
  • Ability to diagnose and resolve simple technical issues and escalate more complex problems through defined processes.
  • Excellent attention to detail and the ability to identify faults, damage or maintenance issues within rooms.
  • A methodical and organised approach to completing tasks.
  • Ability to prioritise work and manage time effectively.
  • Ability to work independently once guidance and objectives have been provided.
  • Awareness of health and safety considerations in technology-enabled environments.
  • Must be a current UCL student (undergraduate or postgraduate).

Desirable Criteria

  • Experience using technology to support learning, teaching or educational activities.
  • An interest in learning spaces, technology-enhanced education or workplace design.

Pay and Registration

Room monitors are paid £15.70 per hour plus holiday pay, with all training time also paid.

  • All successful applicants must register with Unitemps, UCL's on-site temporary staffing agency, before commencing employment. This includes completion of Right to Work checks and all necessary onboarding documentation. Timesheets are submitted weekly and pay is issued by Unitemps at the end of the following month.
