Description
Role
To support in the day-to-day delivery of the Curriculum Approval Service, helping proposals move efficiently and accurately from initial submission through to approval and implementation.
The role will apply established procedures and guidance, manage workflow, maintain reliable records and communications, and resolve routine procedural issues. It will refer proposals requiring specialist quality judgement, complex advice or significant risk management to a more senior colleague.
The role will also provide flexible support to the Curriculum Management Project where needed on data collection, migration and entry tasks.
Duties and responsibilities
• Act as a first point of contact for curriculum approval enquiries, providing guidance on processes, requirements and timescales on course and module submissions.
• Review submissions for completeness and accuracy, identifying missing information and liaising with colleagues to resolve issues.
• Maintain accurate records of proposals, decisions, actions and approval outcomes within University systems and databases
• Produce routine reports and management information relating to curriculum approvals, project progress and data quality.
• Communicate approval outcomes and ensure approved curriculum information is transferred accurately to relevant teams and systems for implementation.
• Collect, validate and enter curriculum data to support the Curriculum Management Project, ensuring information is complete, accurate and consistent.
• Assist with data migration, data cleansing and quality assurance activities associated with curriculum management system developments and improvements.
• Support the testing and implementation of new processes linked to the Curriculum Management Project.
• Work collaboratively with academic departments, professional services colleagues and project teams to support the successful delivery of curriculum approval and curriculum management activities.
• Provide flexible administrative and project support across the Quality and Partnerships team, contributing to team resilience and project objectives.
• Prioritise and manage workload to meet approval and project deadlines.
• Resolve routine data, record-keeping and workflow issues, escalating complex matters where necessary.
• Ensure the accuracy, integrity and confidentiality of curriculum approval and curriculum management data.
Skills and experience
Essential criteria
1. Experience of coordinating administrative, assurance or operational processes in a service environment.
2. Experience of higher education delivery and administration in an institutional, faculty or academic-department setting.
3. Familiarity with university courses, course structures and the role of academic regulations and approval requirements.
4. Excellent organisational skills, including the ability to manage several proposals or pieces of work at different stages and meet competing deadlines.
5. Strong attention to detail and the ability to review information for completeness, accuracy and consistency.
6. Experience of working with large datasets in an administrative, data quality or data support role.
7. Strong IT skills, particularly with Excel.
8. Excellent written English, including the ability to produce clear correspondence, records, reports and procedural information.
9. Strong interpersonal and customer-service skills, with the ability to build constructive relationships and follow up work clearly and tactfully.
10. Confidence using digital systems, documents and spreadsheets to maintain records, monitor workflow and report information.
11. The ability to analyse and bring together information, identify issues and communicate findings clearly.
12. The ability to work independently while contributing constructively to a collaborative team.
Desirable criteria
1. Experience of course or module approval, academic course administration, or curriculum data management.
2. Experience of supporting formal panels, committees or quality-review activity.
3. Experience of using a curriculum-management or student-record system, particularly SITS.
