Role
Bayes are currently looking for a Course Office Administrator to join them on a temporary basis.
Duties and responsibilities
• Provide a high level of customer service to customers including academic staff, support staff and students.
• Respond to enquiries and requests via email, telephone, video call or online chat facilities, ensuring they are responded to quickly and efficiently.
• Support the Digital Learning Operations Team with data entry, including updating and maintaining information on the central university database (SITS).
• Assist with the send-out of information and updates to students.
• Assist with general office duties for the Digital Learning Team such as email and shared drive management, photocopying, scanning and ordering stationery.
• Support Programme Officers with preparations for welcoming new students, for example preparing welcome packs, giving tours and supporting student induction events.
• Assist with the planning and delivery of both online and in-person events.
• Support Programme Officers with module delivery tasks
• Assist with organisation of meetings, take minutes during meetings and prepare these for circulation.
• Assist in preparation of reports for internal use.
• Assist with the administration and coordination of various department projects.
• Carry out quality checks on module areas and learning resources.
• Support and facilitate live webinars when required.
There will be occasional requirements for out of hours work when we have student events in the evening.
There is no requirement to serve alcohol but our events may include alcohol.
Skills and experience
Demonstrable office experience gained in an administrative role, ideally within a busy customer focused environment
Experience of working to tight deadlines, continually reviewing and managing priorities
Excellent IT skills and experience working with MS Excel, Word, and databases
Experience of organising and supporting meetings, for instance by booking rooms and taking minutes.
Experience of using student systems/databases
Experience of using virtual learning environments
Good customer care skills; friendly, professional and approachable manner.
Strong interpersonal and communication skills
Meticulous attention to detail, with the ability to follow established processes independently with due care to maintenance of quality.
Ability to write clearly and concisely and use MS Word competently to enable minute taking, documentation and report writing.
Ability to work as part of a team and to share and discuss ideas positively.
Ability to use collaborative and communication tools such as MS Teams, Zoom, OneDrive and SharePoint.
