Description
Role
To provide high quality administration for postgraduate students and staff across the ESRC Midlands Graduate School (MGS, 60%) and Centre for Arts Doctoral Research Excellence (CADRE, 40%). To contribute to the day to day running of both programmes and embed effective integrated working across both teams.
Duties and responsibilities
1. To manage student’s research expense budgets, including advising on acceptable items of expenditure, booking travel through the University’s travel agent, processing purchase orders, expense claims and invoices, keeping student funding logs up-to-date, and liaising with colleagues in the Doctoral College and academic departments.
2. To ensure the maintenance of accurate records of all funding applications, including logging applications and supporting the peer-review processes. To include Postgraduate Research Scholarships, Postdoctoral Fellowships, funding streams for additional research activities and Disabled Students Allowance.
3. To manage each programme’s webpages and social media channels, including maintaining and updating information on events, activities and recruitment, and production of any further literature required (newsletters etc).
4. To act as the first point of contact for enquires from individual students, academic departments and external partners (in person and online), including monitoring resource email accounts and working collaboratively with partner organisations.
5. To assist the MGS Cohort Development Officer and CADRE Doctoral Training Programme Manager with the administration of cohort events and training in both programmes, including confirming attendees, booking rooms and organising catering where appropriate.
6. To support the MGS Programme Manager and Consortium Manager and CADRE Doctoral Training Programme Manager in governance for each programme, such as supporting arrangements for Committee meetings and Exam Boards such as: note taking; creating and circulating agendas, papers and minutes; room bookings; practical arrangements for external visitors.
7. Any other administrative duties appropriate to the nature and level of the post as agreed with the line manager.
Skills and experience
Essential Criteria
- Good general Education to A’ level or equivalent, including GCSE level Grade C or above in Mathematics and English.
- Previous administrative experience in a customer-facing environment.
- Excellent organisational skills with a high degree of accuracy and meticulous attention to detail.
- Ability to prioritise, use initiative, manage own workload and work to tight competing deadlines both individually and as part of a team.
- Ability to deal confidently, with appropriate sensitivity, with a wide range of people including students, staff and external stakeholders at all levels.
- Ability to work flexibly and contribute to effective team working.
- Excellent verbal and written communication and listening skills.
- Excellent IT skills, including a good knowledge of all MS Office desktop applications, including Word, Excel and PowerPoint.
- Proficient numeracy skills, data handling, database and management information systems maintenance skills.
- Ability to construct and manage simple budgets.
- Capacity and willingness to master new skills and assimilate new areas of knowledge rapidly and apply them appropriately with strong attention to detail.
Desirable Criteria
- Previous experience of Higher Education administration
- Training in office administration, secretarial skills and/or IT skills.
- Experience of compliance with Warwick Financial Regulations.
- Experience of SAP/Concur or similar financial systems.
