Role

Unitemps DMU are looking to recruit two Membership Service Administration Assistants for De Montfort Students Union to work 10 hours per week across Monday to Friday, during University Term Time. 

Purpose of the Role: To work under the direction of a Membership Services Manager, you will provide high-quality administrative support, deliver excellent customer service, assist with student engagement and outreach activities, and triage enquiries to ensure the efficient delivery of Membership Services across the Students' Union.

The role is primarily focused on providing efficient day-to-day support, including managing shared inboxes, responding to enquiries, signposting students to the appropriate services, and providing hub cover to ensure a seamless customer experience.

We are looking for 2 exceptional candidates who alongside their core responsibilities, demonstrate flexibility and a willingness to undertake a variety of duties appropriate to the role. The successful candidate will contribute to a culture of openness, honesty, commitment and transparency, ensuring that services are delivered effectively and in line with DSU’s priorities.

While priorities may vary in line with business needs, the role is expected to be broadly split across the following areas:

  • 65% Transactional and administrative support
  • 20% Frontline service delivery and hub cover
  • 15% Wider team support activities

The duties and responsibilities outlined in this job description are not exhaustive and may be amended from time to time to meet the changing needs of the service and the wider organisation. The postholder will be expected to undertake other duties appropriate to the grade and nature of the role, as reasonably required.

This opportunity is open exclusively to current De Montfort University (DMU) students. Applicants will be required to provide evidence of their current student status as part of the recruitment process.

Duties and responsibilities

Customer Service

Deliver a professional, friendly, inclusive and empathetic customer service experience to students, staff and visitors.

Act as a first point of contact for Membership Services enquiries in the De Montfort Students Union Hub, providing front-of-house face to face support; as well as offering a triage service for students with general queries via telephone and email.

Respond to general enquiries with politeness and professionalism, resolving issues where appropriate or referring students to the relevant service.

Signpost students to relevant support, ensuring all enquiries are handled sensitively, confidentially and efficiently via telephone, email or in person. 

Administration

Provide accurate and timely administrative support across the Membership Services department.

Process activity booking requests from student volunteers and complete associated administration as required. 

Maintain accurate electronic student date ensuring this complies with GDPR.

Produce and update documents, spreadsheets, presentations and other resources using Microsoft Office applications. 

Support key Union events including but not limited to Welcome Weeks and Elections

General Responsibilities

Work collaboratively with colleagues across the Students' Union to deliver an excellent student experience.

Contribute to creating a positive, inclusive and welcoming environment for all students.

Comply with all University and Students' Union policies and procedures, including safeguarding, equality, diversity and inclusion, health and safety, data protection and information security.

Undertake any other duties appropriate to the role as reasonably requested by your line manager.

Skills and experience

Experience

Experience of delivering excellent customer service in a customer-facing environment.

Experience of carrying out a range of administrative tasks accurately and efficiently.

Experience of MS Office Systems – MS Teams, MS Offices etc 

Experience of communicating professionally and sensitively with a diverse range of people.

Understanding of confidentiality, GDPR and the secure handling of personal information.

Experience of supporting events, campaigns or student engagement activities.

Experience of using CRM or case management systems.

Skills and Knowledge

Excellent verbal and written communication skills, including face-to-face, telephone and email.

Strong organisational skills with excellent attention to detail.

Ability to prioritise workload, manage competing demands and work effectively under pressure.

Ability to work independently using initiative, as well as collaboratively within a team.

Competent IT skills, including Microsoft Word, Excel, Outlook, PowerPoint and digital communication platforms.

Ability to maintain accurate records and handle confidential information appropriately.

Able to demonstrate honesty, integrity, professionalism and respect in all interactions.
