Role

To provide an efficient, effective, and professional first point of contact and reception service to sports facilities visitors. Based at the University of Warwick you will be working across Warwick sports’ wide range of extensive and premium sport facilities.

 

*Please note you must have availability to work week commencing Monday 28th September.

Key Responsibilities -

Operations & Administration

  • Oversee the opening and closing of sports facilities and support the delivery of events.
  • Manage day-to-day reception operations and ensure effective communication across teams.
  • Support Health & Safety compliance and promote a safe environment for customers and staff.
  • Administer facility bookings using the Gladstone management system.
  • Attend event planning meetings and ensure operational information is up to date.
  • Handle customer feedback and complaints in line with agreed procedures.

Finance & Sales Support

  • Complete till reconciliation and follow banking procedures accurately.
  • Manage stock ordering and deliveries in line with university procurement processes.
  • Process memberships, direct debits, and payments.
  • Support membership growth through lead generation and sales opportunities.

Customer Experience

  • Deliver professional, high-quality customer service across all communication channels.
  • Maintain accurate customer and membership records.
  • Work closely with cleaning and operational teams to ensure facilities remain safe, clean, and welcoming.
  • Respond to face-to-face, telephone, and email enquiries.
  • Operate booking systems, display screens, and provide accurate information on services and facilities.
  • Provide general administrative support, including database management, correspondence, and document preparation.

General

  • Undertake additional duties as required by the Sports Operations leadership team.
  • Maintain flexibility and contribute to the overall success of Warwick Sport.

Skills and experience

  • Excellent written and verbal communication skills, with a focus on customer service.
  • An enthusiastic ‘can do’ approach and willingness to ‘go the extra mile’ to accommodate visitor needs.
  • Strong attention to detail; managing personal workload and ability to organise and prioritise activities.
  • Ability to work well within a team and proactively supporting other colleagues.
  • IT competent in MS Office with good knowledge of email, calendars, word and excel.
  • Ability to anticipate issues and problems and to propose practical solutions.

Sports & Wellness Hub - University of Warwick

Additional information

Hours: Up to 36.5 hours per week including (Sat & Sun weekend work) Early shifts will start at 05:45 and late shifts until 22:00. Hours varying each week dependant on demand. No guaranteed hours.
