Role
The Operations Officer will provide administrative support to the Director of Careers , Director of Student Experience and Director of Academic Services. The role will provide project assistance in implementing Professional Services Target Operations across the Directorates and support the smooth running of services.
Please note, this is a part-time role, working 2.5 hours a week.
Duties and responsibilities
• Provide proactive, high-quality administrative support, including diary management for the Director of Academic Services, Director of Careers, Director of Student Experience, and other key leadership positions as required.
• Provide routine administrative support using a variety of software packages to produce reports, documents, spreadsheets, and presentations.
• Manage recruitment administration, including interview logistics, liaison with HR and candidates, and administrative tasks relating to recruitment systems and processes.
• Plan, develop, and coordinate the delivery of departmental and school events as required.
• Provide support with meeting preparation, including booking meetings, collating and preparing agendas, distributing papers, recording and following up on actions, booking rooms, and arranging catering in line with the University's hospitality policy.
• Produce accurate records of discussions at meetings and committees, documenting decisions through clear and concise minutes and action points, and ensuring these are stored and communicated appropriately.
• Undertake ad hoc projects as required to support the Directors and the wider leadership team.
• Provide administrative assistance to the Deputy Chief Operating Officer as required.
Skills and experience
Qualifications and Knowledge
• Educated to A Level, NVQ Level 3, or equivalent experience.
• Experience of working in an office administration role.
• Previous experience of working within the Higher Education sector and/or familiarity with academic environments.
• Good working knowledge of all Microsoft Office applications.

• Student/customer-focused approach.
• Excellent interpersonal, written, and verbal communication skills, with a customer-centred approach.
Planning and Organisation
• Knowledge of office procedures and systems, including organising meetings, taking minutes, purchasing, and managing general administrative enquiries.
• Ability to prioritise a varied workload and work to deadlines.
• Excellent organisational and time management skills.
Interpersonal Skills
• High level of accuracy and strong attention to detail.
• Ability to communicate effectively and build positive working relationships with staff and stakeholders at all levels.
Problem Solving and Decision Making
• Proactive approach to identifying and resolving issues where appropriate.
Leadership and Teamwork
• Ability to work independently with minimal supervision while contributing effectively as part of a team.
Taking Responsibility
• Ability to support senior operations staff with the management and oversight of departmental space, ensuring accurate information flow and timely action.
• Ability to handle confidential information appropriately.
Budgetary and Financial Controls
• Responsible for the appropriate use of University resources within the scope of the role.
