Description
Role
We are looking for a Communications, Recruitment and Events Coordinator to support the team at KMMS until the end of September.
KMMS welcomed its first students in 2020 and achieved full GMC accreditation in 2025. Our mission is to widen participation, train excellent doctors, and improve health in Kent and Medway. We deliver a five-year undergraduate programme and a growing portfolio of postgraduate study, including the MSc in Clinical Education and Physician Associate Studies.
Duties and responsibilities
- Support the planning and coordination of a wide range of recruitment, outreach, communications and student engagement activities throughout the academic year.
- Assist with the organisation, preparation and occasional on-the-day delivery of annual KMMS events.
- Support event logistics, including preparing resources, checking venues and equipment, coordinating materials, liaising with internal colleagues and ensuring events run smoothly.
- Assist with Welcome Week activities, including coordinating student photography and promoting the Student Ambassador Programme.
- Support the production and distribution of student, staff and alumni communications, including gathering content for newsletters, bulletins, website updates and other communications.
- Work with colleagues across KMMS to identify and capture news stories, achievements and good news content through photography, interviews and written updates for use across digital channels.
- Maintain and update content across communication platforms, including Mailchimp, websites and other digital communication systems.
- Accurately input, maintain, and manage data across a range of systems, including Mailchimp, HEAT (Higher Education Access Tracker), event management platforms and other databases, ensuring compliance with GDPR and University policies.
- Support the development and maintenance of efficient administrative processes, identifying opportunities to streamline workflows through digital tools and automation where appropriate.
- Maintain organised filing systems and accurate digital records to ensure documentation is accessible, up to date and compliant with record management requirements.
- Support procurement and stock management for promotional materials, event resources and branded merchandise.
- Liaise professionally with prospective students, applicants, current students, staff, schools, partners and external stakeholders, providing excellent customer service and responding to enquiries appropriately.
Skills and experience
- Demonstrable experience of working in a busy administrative role, with the ability to manage competing tasks and deadlines.
- Excellent IT skills, particularly Microsoft Office 365, with confidence using or learning tools such as Microsoft Planner, Loop, Teams, SharePoint and Outlook.
- Experience of supporting digital systems, processes or filing structures, with good attention to detail and a methodical approach to organising information.
- Ability to work proactively and use initiative to improve administrative processes, including setting up simple automations or workflow improvements.
- Effective written and verbal communication skills, with the confidence to liaise with staff and students and support clear internal communications.
- Strong attention to detail, with the ability to check information carefully, maintain accurate records and ensure communications and documents are clear, consistent and error-free.
