Role

The University’s Residential Community Team is looking to recruit an individual to provide high quality administrative support. 

We are seeking an experienced Administrative Assistant to support our existing team as we prepare for the next academic year. We are looking for someone with excellent communication and time management skills who can work flexibly, responding to events as and when they arise. 

The successful candidate will be required to liaise with both students and staff daily, often acting as the first point of contact for the service. 

As part of the wider Wellbeing and Safeguarding Directorate, the Residential Community Team provides pastoral support to our diverse community of on campus residential students and is responsible for the delivery of a programme of psycho educational activity focussed on four pillars – Community Wellbeing, Community Engagement, Community Building, and Community Behaviours. 

The team is committed to providing professional services that enable students to successfully complete their studies and enhance their overall student experience. At times, the team’s work can be demanding and therefore, it is essential that the candidate is able to work in an emotional environment. 

As part of the Residential Community Team, acting as first point of contact for staff, students, family members, visitors (internal and external) who wish to contact the service either in person, by telephone or digitally and overseeing the delivery of this important aspect of Wellbeing’s work. 

The successful candidate will assist in the operation of administrative services within the team, providing excellent support to our full-time permanent administrator and our team of Residential Community Coordinators (RCCs) by ensuring the provision of high-level professional, confidential and comprehensive administrative support, so that the wider Wellbeing and Safeguarding Group can operate smoothly and efficiently.

Working hours 9am-1pm Monday-Friday (On Campus)*Please note there may be a need to adapt these hours occasionally to support service requirements. Advance notice will be given for any changes required.

Duties and responsibilities

GENERAL

  • Provide general day to day Administrative Support to the team.
  • Manage and monitor enquiries through a shared mailbox, including assessing the level and type of intervention required from the enquirer, using judgement and expertise to decide on the appropriate response/course of action (enquiry management and booking appointments) and escalating serious concerns/high risk cases where appropriate, by passing to other colleagues, signposting etc.
  • Support the management of websites and literature, ensuing they are up to date, relevant and compliant.  Assist departmental administrator to coordinate team meetings, and to take minutes where needed.  
  • Liaise with departmental administrator and RCC’s to ensure there is sufficient promotional materials and that these are up to date and circulated appropriately. 

HUMAN RESOURCES

  • Recruitment – ensuring our new cohort of Unitemps staff are supported in the lead up to them starting their roles in September 2026.
  • Ensuring departmental absences for Unitemps assignment holders recorded and monitored accordingly. 
  • Ensure staff contact details and mailing lists for Unitemps assignment holders are kept up to date.
  • Approve timesheets and manage questions from our Unitemps assignment holders.

RECEPTION 

  • Assessing the level and type of intervention required from the enquirer, containing and anxiety, and using judgement and expertise to decide on the appropriate response (enquiries can be of a very broad nature and are often sensitive). 
  • Ensuring the smooth-running of processes 
  • Ensuring the efficient administration of services and advising the students in a warm sensitive manner.
  • Providing relevant up-to-date information in response to miscellaneous requests and enquiries.

Skills and experience

  • Good educational background to A Level or equivalent.  
  • IT qualification or relevant experience and excellent IT skills. 
  • Significant experience of providing administrative support in a complex, busy customer-facing environment. 
  • Previous experience of working with sensitive information and personal data and being able to manage matter with discretion and tact. 
  • Experience of working in an emotional/sensitive environment with a strong level of emotional resilience in order to manage when presented with severe issues or those in a highly emotional state. 
  • Experience of working effectively in a team environment 
  • Demonstrably excellent interpersonal skills with the ability to communicate effectively with colleagues at all levels and provide exemplary customer service skills, including a calm and warmer demeanour. 
  • Problem solving skills. 
  • Ability to apply judgement to sensitive and demanding priorities. 
  • Excellent organisational and time management skills with the ability to balance competing priorities, working quickly and accurately under pressure to meet tight deadlines. 
  • Ability to adapt to changing and challenging circumstances and to identify and anticipate solutions 
  • Ability to be proactive, use initiative and to apply knowledge flexibly in a range of solutions 
  • Ability to work as part of a team and own initiative 
  • Awareness and understanding of the GDPR Legislation, with the ability to apply accordingly. Managing highly confidential and sensitive matters with discretion and tact. 
  • Excellent written and oral communication skills, and attention to detail. 
  • Previous experience of working with students. 
  • Good knowledge and understanding of University’s policy on data protection, compliance and equality and diversity
