The role:

To undertake a range of specialist and non-specialised administrative and clerical duties to support areas within a faculty or administrative cluster.

The role is full time 37hrs Mon-Fri, hybrid is possible with a minimum of 3 days on campus – days to be agreed. There is some flexibility with start and finish times within the core hours of 08:00-17:30.The role will start from w/c 17/08/2026 with an expected end date of 18/12/2026.

Duties and responsibilities

1.Provide proactive, confidential and reliable administrative support toensure the smooth running of areas of a faculty or cluster, supportingdelivery against a broad range of responsibilities.

2.Assist the logistics for staff travel, e.g. seeking approval from the linemanager and budget holder, booking flights, hotels, rail, conferencebookings etc.

3.Assisting staff in the arrangement of travel activities (including, whererequired, student trips), following the university protocol for Globalactivities and relevant travel processes.

4.Assisting the staff recruitment process including the preparation ofrelevant paperwork and interview arrangements as well asprocessing and recording contracts and time-sheets as and whenrelevant.

5.Support local induction arrangements for new staff to include ITaccount requests, access requests, Health and Safety inductions andother elements as required to support a smooth onboarding process.

6.Support financial administration through accurate SAP use to includeraising purchase orders and goods receipting.

7.Support planning and preparation for meetings and committees,taking notes as required.

8.Process complex documents and information received from a rangeof sources, investigating and analysing data.

9.Maintain accurate records within the required areas, in line with university’scentral policies.

10.Work collaboratively with colleagues across the faculty or administrativecluster to ensure a consistently high level of support is provided across allsenior offices.

11.Collate and extract data and produce routine reports, schedules,summaries and letters for internal circulation or for externalcustomers and suppliers.

12.Organise/provide hospitality for visitors, as required.

13.Work within cover arrangements to ensure a consistency of support in theabsence of colleagues.

14.Provide out-of-hours support for university activities and to reflect periods ofintensive workload, on an agreed and limited basis.

Skills and experience

  • Educated to GCSE level, with grade C or above in Maths and English (or equivalent qualifications)
  • Experience working in an administrative environment
  • Experience working in a busy office environment where it is important to successfully re-prioritise
  • Able to prioritise own workload with minimal supervision
  • Competent IT user, including experience of Microsoft Office/Outlook packages
  • Excellent customer service skills
  • Experience developing systems and processes to ensure efficiency within an office environment
  • Able to demonstrate attention to detail
  • Understands the importance of discretion and confidentiality in a work environment
  • Able to provide a service to a diverse range of people to promote good relations and equality
