Role

Join the Warwick Admissions Service during one of the most exciting and important periods in the University admissions cycle. We are recruiting a team of enthusiastic and customer-focused individuals to support our Confirmation and Clearing Hotline in August, helping applicants take the next step in their journey to Warwick.

You will handle enquiries from prospective and existing students, parents, and teachers via telephone, assess applicant information against agreed guidance, accurately update University systems, and make offers where appropriate. Full training and support will be provided.

Duties and responsibilities

  • Responding to telephone calls from existing undergraduate applicants regarding the University’s decision on their offers, following the release of A-level and other results.
  • Handling calls from prospective Clearing applicants, reviewing their qualifications and results, and making offers to study at Warwick where appropriate.
  • Responding to frequently asked questions from applicants as they prepare to enrol at Warwick. Training and scripts will be provided.
  • Escalating more complex queries where appropriate.

Skills and experience

Hotline Operators follow specific scripts to guide conversations and will receive full training on how to respond to the most frequently asked questions. In your application covering letter, please detail how you meet each of the criteria below. 

Essential Skills:

  • A clear, professional and confident telephone manner.
  • Excellent communication skills, both verbal and written.
  • High levels of accuracy and attention to detail.
  • Ability to remain calm and professional under pressure.
  • Strong IT skills, with the ability to learn and confidently use multiple systems simultaneously.
  • Ability to follow guidance and make accurate decisions within established procedures.
  • Ability to work effectively as part of a team.

Desirable Skills:

  • Experience in a customer service, call centre, reception, admissions, or enquiry-handling environment.
  • Previous experience of working on a Confirmation and Clearing Hotline.
  • Previous experience of working in an administrative role.
  • Experience of handling sensitive information and maintaining confidentiality.

Essential Availability Requirement

Applicants must be available to attend all compulsory training sessions and work the advertised Clearing dates. Unfortunately, alternative dates cannot be offered.

Additional information

Tuesday 11 August 2026 up to Friday 14 August 2026. The call centre may open week commencing 17 August (subject to call volumes). 

  • All suitable candidates will be asked to complete a moodle course prior to attending in-person training taking place at the University of Warwick Campus, as follows:
  • Pre-activity task: There is an activity of approximately 1hr.  Access to a computer is required.
  • Training Session: Tuesday 11 August 2026, 09:30 to 13:30, delivered in University Library. 
  • Training Session: Wednesday 12 August 2026, 09:30 to 13:30, delivered in University Library. 
  • Clearing Hotline Work - likely timings below (subject to change): 
  • Thursday 13 August 2026, 07:45 to 18:15.
  • Friday 14 August 2026, 07:45 to 16:15

Additional opening (subject to call volumes)

  • Monday 17 August 2026 08:45 to 16:15.
  • Tuesday 18 August 2026 08:45 to 16:15.
  • Wednesday/Thursday/Friday subject to call volumes

Participation in all above sessions is essential. The training will consist of an online moodle course, briefing, discussion, and role play exercises. You will have the opportunity to ask questions to Admissions and Recruitment Staff. Role playing is a key part of the face-to-face training and will enable us to assess whether you are suitable for the role. Following training, candidates must demonstrate the required standard to undertake Hotline duties. Those who do not meet the required standard may not be offered further work on the Confirmation and Clearing Hotline.
