Role
Welcome Week 2026 will return with the Arrivals Period from Thursday 24th – Sunday 27th September, and Welcome Week itself running from Monday 28th September – Sunday 4th October. Welcome Helper training is compulsory and must be attended in person, on campus, on Tuesday 22nd September.
Created in 2018 in collaboration with the University and Warwick Students’ Union (SU), Welcome Week is designed to enable new students to make friends, adapt to life in a new environment and highlight the range of opportunities and support available for students.
Being a Welcome Helper is a great opportunity to share your passion for being a student at the University, whilst meeting new people, developing key skills and being part of a new student’s first experience of Warwick. Duties are varied but the ability to have a flexible approach, work as part of a team and be a confident communicator are essential skills for this post. Helpers may be required to assist setting up for an event, carrying/fetching materials, supporting tours, signposting students to information and stewarding.
This role is open to all current students and recent alumni - whether UK, EU or international; undergraduate or postgraduate.
To apply, you must be able to complete your Right to Work Check with Unitemps between 1st July - 18th September 2025. Please check your accommodation dates and ensure that you able to do this, in person if required, before you apply.
You must also be available to work on Monday 28th and Tuesday 29th September, work multiple other shifts between Wednesday 23rd September – Sunday 4th October and attend compulsory in-person training on Tuesday 22nd September.
Welcome Helpers are required to be available for the entire arrivals and welcome period, although we cannot guarantee a particular number of hours. Please do not apply to be a Welcome Helper if you are not able to work for the Welcome and Arrivals period.
A small number of roles are available for students who are working as Arrivals Assistants during the arrivals period and wish to then become a Welcome Helper during Welcome Week. If you have already accepted a role as an Arrivals Assistant, please include this in your application.
Duties and responsibilities
Welcome Helpers play a vital role in supporting new students as they settle into university life.
The duties and responsibilities described are examples, and are not exhaustive, of the tasks you may be required to do:
Event Co-ordination
• To support students arriving to campus, including providing a meet-and-greet service at Pool Meadow Coach Station
• To support the University and SU with events happening throughout the week – including event set up and pack down of materials and moving furniture
• Stewarding
• To be respectful of diversity and target information and activities accordingly
Adaptability, Flexibility and being Approachable
• To act as an ambassador for the University and Warwick SU when engaging with new students
• To provide a friendly welcome to new students and help them integrate into life at the University of Warwick
• To lead and/or support pre-defined tours around campus
Signposting
• To explain how the SU and other key university service providers work and encourage new students to get involved
• To be able to refer students to sources of information and advice. You will answer questions, talk about your experiences as a student and direct students to other sources of help
• To respond appropriately to the needs of new students
• To create an environment of inclusiveness for both home and international students
Skills and experience
We are looking for current students with the following qualities:
• Sociable and keen to engage with other students from all backgrounds and nationalities
• Good knowledge of campus, particularly support services and opportunities available
• Customer service experience
• Friendly, hardworking and pro-active, demonstrating a level of professionalism
• Excellent level of spoken English (additional languages are a benefit, but not essential)
• Excellent team working skills
• Committed and reliable with excellent time management skills
• Ability to work under pressure in a fast-paced environment, using initiative to solve problems
• Commitment to the dates listed in the job description
Desirable:
• To have completed Intercultural Awareness Training
• Experience in dealing with vulnerable people
