The role:

To provide effective high-quality specialised administrative support to Student Life & Library Services and contributing to the smooth running of Student Welfare.  This broad and varied role demands a conscientious coordinator with a talent for data quality, planning and prioritisation.You will work 37 hours per week on a hybrid basis. The role will start 06/07/2026 with a current expected end date of 30/09/2026

Duties and responsibilities

  • Data Quality Checks: Conduct regular data quality checks using SLcM (SAP) and other University systems, employing advanced technical Excel functions for data comparisons
  • Setting up and managing Teams sites/channels for operational objectives
  • Management Reporting: Produce management reports by consolidating data from various systems.  To assist with identifying report requirements to improve processes and management planning.
  • Student Engagement Coordination: Proactively identify appropriate students and contact them through various communication modes to support students accessing appropriate support/events
  • Support Processing: Accurately process and save new Disabled Student’s Allowance (or equivalent) funded support onto university systems, ensuring all support-related documentation is correct. Address any funding changes and discrepancies (e.g., incorrect hourly rate, change of support funding provider) by making necessary adjustments and coordinating with relevant teams and external stakeholders to resolve issues promptly.
  • Data Management: Responsible for student and support worker information. Keeping all records up to date by regularly carrying out data quality checks. Recording all student interactions on C4C. 
  • Customer service: Provide an excellent level of service to customers/stakeholders (e.g., students, support managers/leads, specialist support staff, colleagues from other departments, funding bodies, external contacts), this may include responding to queries via e-mail
  • Work Planning: Anticipating and preparing for cyclical and future work demand
  • Process Improvement: Create, review and update administration processes and manual
  • Team Collaboration: Work collaboratively with admin colleagues and provide cover when required, such as putting in place Reasonable Adjustments for Students
  • Additional Duties: Perform any other duties commensurate with the job/role profile as required from time to time

Skills and experience

  • 5 GCSEs (or equivalent) including Maths and English

  • Experience of providing administrative support within a busy and fast paced environment.

  • Experience of data collection and reporting

  • Experience of using Microsoft Excel to manage and analyse data, including the use of formulas, PivotTables and lookup functions (e.g. VLOOKUP/XLOOKUP). Ability to produce accurate reports and work confidently with large datasets

  • Competent use of Microsoft 365 applications including Word, Outlook, Microsoft Teams and SharePoint, with experience of collaborative working, document management and information sharing within a digital workplace.

  • Effective team working

  • Excellent written and verbal communication skills

  • A high level of administrative and organisational skills

  • Work with high attention to detail whilst adhering to deadlines

  • Ability to work on own initiative with minimal supervision

  • Ability to use initiative and demonstrate a solutions led/proactive approach to work

  • Demonstrate a flexible and responsive approach to changing priorities
