Role

To provide high-quality administrative support to enable colleagues in the Education Operations Directorate to fulfil responsibilities in relation to academic governance, project work and operational requirements. This will include supporting the Reform of Academic Regulations and Policy Project, and the Annual Quality Review, along with other core business of the Directorate. Every day contacts include Senior Managers and colleagues within the wider team, and key professional staff in central professional services teams and academic departments.

About the Department

Education Operations is a newly established Directorate bringing together teams from Education Policy and Quality, Student Administrative Services, and Student Complaints and Academic Casework into a more connected and integrated professional services function.Our focus is on supporting excellent education delivery across the University by reducing complexity, improving consistency, strengthening governance and creating more seamless experiences for students and staff. We work across the academic lifecycle, from curriculum and assessment through to student records, casework, quality assurance and academic governance.The Directorate is being designed around end-to-end services, user-centred design, continuous improvement and smarter use of data and systems. This creates a unique opportunity for colleagues to help shape new approaches, influence institutional strategy and contribute to major change programmes at one of the UK’s leading universities.

Duties and responsibilities

Operational Support

Manage resources required by colleagues in the Education Operations Directorate:

• Schedule meetings and book associated rooms and catering;

• Order stationery and equipment;

• Book places and make travel arrangements for attendance at national meetings;

• Raise and process purchase orders, invoices and credit notes, via the SAP financial software, ensuring financial regulations are followed;

• Update information logs and registers necessary to the work of the team.

Project Support

Support the work of Education Operations in delivering institution-wide and Faculty-led projects and initiatives:

• Schedule meetings, manage diary invites and book suitable rooms;

• Service project meetings, prepare agendas, take meeting notes and update action logs;

• Update project documentation, including activity trackers.

• Create and maintain Teams sites and manage access permissions.

Governance and Policy Support

Provide high-quality administrative support to academic governance activity, including:

• Service committees and review groups (e.g. collate and circulate papers, prepare agendas, take notes/minutes, maintain records and action logs);

• Maintain and organise governance documentation, including publication of papers and materials to appropriate systems (e.g. SharePoint and electronic file stores);

• Publish agendas and minutes on committee webpages using SiteBuilder;

• Maintain annual membership lists and update as changes occur throughout the year;

• Support senior staff in maintaining consistency implementing service standards and standard operating procedures across the University’s academic governance;

• Act as a first point of contact for queries relating to academic governance, policy and regulations, providing initial responses and escalating as required.

General Duties

• Contribute to key events in the academic calendar such as Enrolment and Degree Congregation, as a member of a wider support team.  

• Undertake any other tasks as required and appropriate to the grade.

Skills and experience

Essential

• Good general education to A-level or to at least A level standard.

• Experience in an administrative role supporting service delivery or projects.

• Experience of working within a large organisation or institution.

• Strong organisational skills with the ability to prioritise and plan work independently and work effectively under pressure to meet strict deadlines.

• Excellent IT skills in MS Office desktop applications and MS Outlook.

• Experience of setting up and administering SharePoint and Teams sites.

• Excellent oral and written communication skills, including the ability to adapt material for communication to different audiences.

• Ability to work with a high level of accuracy and attention to detail, using a structured methodological approach in working with documents, processes and events.

• Ability to work flexibly as part of a team and undertake work autonomously.

• Capacity to master new areas of knowledge and skills rapidly.

• Ability to deal sensitively with confidential information.

Desirable

• Experience working within Higher Education or a similar educational setting.

• Experience of using SAP or a similar accounting package.

• Experience of using SiteBuilder to publish documents on webpages.
