Role
We are looking for a final year student or recent graduate of the University of Gloucestershire to support the Student Recruitment and Events Team and Student Ambassador Team on a temporary contract, initially for 4 months but could extend to 6 months. 

This is primarily an administrative role, focused on supporting the planning, coordination, and delivery of student recruitment and ambassador activity. While there will be a requirement to attend some events, most of the role will involve administrative and organisational work. You will be working in a busy events team which plays a critical role in enquiry/application conversion. This role will support the delivery and high-quality experience for enquirers or applicants when they engage with the university through student recruitment events. It will also support the Student Ambassador Team to meet the needs of teams across the university. 

Please note that restrictions are in place relating to the booking of holiday during times of peak activity such as mid-August. 

Duties and responsibilities

  • Assist with the day-to-day administrative process of the Student Ambassador scheme, including advertising events, recording attendance, and ensuring resources are up to date and effectively deployed. 
  • Brief and schedule Student Ambassadors for events, ensuring appropriate staffing levels and clear communication.
  • Maintain accurate records and use systems (using Excel and internal platforms) to track activity and report on engagement. 
  • Assist with the recruitment of Student Ambassadors, including shortlisting, arranging interviews, and supporting with logistics for induction training. (again isn’t this what Joe would like to do?)
  • Provide administrative support for key student recruitment activities, including: HE exhibitions, Open Days, Clearing Events, Bespoke campus tours.
  • Manage shared inboxes, responding to enquiries and coordinating bookings for events and campus tours.
  • Organise and schedule bespoke campus tours, liaising with Student Ambassadors, academic staff, and support teams. 
  • Support the coordination of recruitment events, including preparing materials (such as programmes, signs, and merchandise), managing bookings, and ensuring all logistics are in place. 
  • Work collaboratively with colleagues across the University (such as our student union and accommodation teams) to support the delivery of engaging and well-organised events. 
  • Attend and support events where required, including occasional evenings and weekends. 
  • To undertake any other duties and responsibilities, commensurate with the grade of the post, properly directed by the line manager. These variations will not change the general character of the post or the level of responsibility entailed.

Skills and experience
Essential 

  • Educated to degree level or equivalent, or a final year student.
  • Experience of using Microsoft Office including Excel for a range of administrative tasks. 
  • Excellent organisational skills and a high level of attention to detail. 
  • Experience of working in a front of house setting or a customer service environment. 
  • Excellent communication and interpersonal skills with the ability to communicate with a diverse range of stakeholders.
  • Experience of working with young people. 
  • Excellent interpersonal skills and a team player.
  • Able and willing to work in the evenings and on weekends on occasions, sometimes involving travel within the UK, and away from home. 
  • An understanding of the importance of equity and diversity within an organisation and a commitment to helping create an inclusive culture.

Desirable

  • UK driving license.
  • Experience within an ambassador scheme or volunteer scheme.
