Role
Based in the Finance Directorate, the Partnerships Finance Assistant plays an important role in the financial management of our UK partner arrangements, having day to day responsibility for supporting the financial transactions relating to our further education and schools-based partners.
The post holder will be responsible for the scheduling and processing of payments to Partners. This requires working closely with teams both inside and outside the Finance Directorate, including the Partnerships Accountant, UK Partnerships & Apprenticeships Unit (UKPAU), the Student Fees team and Accounts Receivable. It's essential we maintain good working relationships with our partners and therefore making payments accurately and on-time is essential. The post holder will play a key part in maintaining those working relationships.
Duties and responsibilities
- to provide support for the full range of processes and procedures to ensure the effective administration of the financial arrangements for UK Partnerships and, where appropriate, International Partnerships
- to be responsible for the recording of tuition fee income received for UK Partner students, and any grant or bursary payments made to these students, to enable accurate and timely payments to be made to the relevant UK Partners in line with the terms of the associated MoA
- to identify tuition fee income received by the University for UK Partner students and to produce reports to enable accurate and timely payments to be made to the Partners. To adjust these reports as necessary to reflect student changes to study and the associated changes to tuition fee income and payments due to Partners
- to maintain accurate and appropriate records to support the payments to Partners and for audit purposes
- to work with the Partnerships Accountant, Student Number Planning team, Student Fees team, and Accounts Receivable team to ensure appropriate and timely exchange and dissemination of information and data
- to liaise with the UKPAU, Registry, Academic Schools and UK Partners, as necessary, to ensure that accurate and appropriate student records are maintained by the University for UK Partner students
- to assist with day-to-day queries and to effectively administer and respond to incoming enquiries and requests for information relating to UK Partner students and payments to Partners, as appropriate
- to undertake, and carry out, such training as is necessary to operate the IT systems required to carry out the responsibilities above, including the use of excel for the provision of information to and from UK Partners and internal teams and departments
- to work in conjunction with the rest of the Partnerships Finance team to develop the University Finance system and other processes and procedures to ensure all duties are carried out efficiently and effectively
Skills and experience
- Good IT skills, including Microsoft Excel
- Accuracy and Attention to detail
- Demonstrable/proven interpersonal skills, and clear, concise oral and written communication skills
- Ability to work effectively under pressure and remain calm
- Ability to manage a busy workload and to work flexibly during peak periods
EXPERIENCE
- Experience of working in a busy office and in a confidential environment, including experience in the use of personal data. (Essential)
- Experience in the use of a complex records based or finance system or working with a corporate database.(Essential)
- Experience of using the Agresso Business World finance system and SITS (student record system) (Desirable)
- Previous experience of working in a Higher/Further Education environment (Desirable)
