The role:The Co-ordinator post  plays a vital role in Apprenticeship and Technical Education Services, providing essential administrative support to ensure the smooth running of academic programmes, apprenticeship compliance and ensuring a positive student experience. This role will assist with coordinating and managing a variety of tasks, taking ownership of assigned subject areas to deliver an efficient and effective service to students, academic colleagues, and internal departments.This role is working 37 hours per week on a hybrid basis - Monday and Tuesday or Wednesday is required on campus with the other days being home based.The start date for the role is likely to be 18/05/2026 with a current expected end date of 28/09/2026.

Duties and responsibilities

This role sits within Apprenticeship and Technical Education Services and supports administration across the full student lifecycle. The post holder works collaboratively within the team, prioritising workload in line with service needs.

Provide administrative support for student processes, including assessments, registration, re-registration, and graduation. This includes collating marks, preparing documentation, running error-checking reports (e.g. MAR), and drafting communications to students. Support the scheduling and preparation of Programme Assessment Boards by liaising with academic staff and Faculties.

Contribute to a positive student experience by delivering efficient, responsive administrative support and resolving queries promptly. Monitor learner attendance and produce regular reports for programme teams and Apprenticeship Officers.

Maintain accurate student records by processing routine data requests and ensuring data integrity. Support quality assurance activities, including reviewing documentation and preparing reports.

Provide committee support, including preparing meeting materials and taking accurate minutes.

Work flexibly across the wider ATES team, supporting a range of administrative activities as required. Undertake additional duties appropriate to the role as needed.

Skills and experience

  • Experience in administrative roles, including working in further or higher education and customer-facing environments
  • Strong organisational skills with the ability to manage multiple tasks, prioritise workload independently, and meet deadlines
  • Proficient in IT systems, including Microsoft Office, spreadsheets, large databases, and web-based applications
  • High level of accuracy and attention to detail, with the ability to collect, organise, and maintain data and records efficiently (both digital and hard copy)
  • Effective communicator, able to engage professionally with internal and external stakeholders at all levels
  • Strong team player with a professional, approachable manner and excellent customer service skills
  • Flexible and adaptable, with a willingness to take on varied duties and respond to change
  • Understanding of confidentiality, GDPR requirements, and the importance of handling sensitive information appropriately
