Role
The postholder will support a time limited project to review, update and restructure Research Office content on my.wbs. The role will focus on improving the clarity, usability and accessibility of research guidance, enabling researchers to self serve accurate information and reducing avoidable operational queries to the Research Office.
This role involves close liaison with Research Office colleagues and engagement with academic faculty, professional services teams and students within and beyond Warwick Business School, as required to support delivery of the project. The postholder will also work collaboratively with the WBS eSolutions and Data team, who hold responsibility for underlying data, systems and back end development, to ensure content changes align with existing platforms and processes.
The role will contribute to the effective organisation and transition of research office documentation to share point. This post does not require specialist technical or coding expertise; the focus is on content accuracy, structure, and effective information management rather than system development.
The Research Operations Project Officer will also undertake other duties commensurate with the role, as reasonably directed by the Line Manager or the Director of Research Operations.
Duties and responsibilities
- Conduct a systematic audit of Research Office web content on my.wbs, identifying outdated, duplicated or unclear information
- Rewrite, streamline and restructure content to ensure it is clear, concise and researcher‑focused
- Improve navigation, signposting and information architecture, taking account of the needs of different researcher user groups
- Align guidance with common research related queries to enhance self service access and reduce routine enquiries
- Support the migration of documents and guidance with the help of eSolutions, ensuring good organisation, version control and accessibility
- Assist in developing Standard Operating Procedures (SOPs), workflows and a content maintenance plan to support ongoing review and proactive management of Research Office content
- Liaise with Research Office colleagues and other key stakeholders to gather feedback and test revised content
- Maintain accurate records of changes made and provide a brief handover summary at the end of the appointment
Skills and experience
Essential
- A level standard education (or equivalent), or significant relevant professional experience in an administrative, project support or professional services role
- Experience of working in a busy office or professional services environment, managing multiple tasks and priorities to deadlines
- Demonstrable experience of supporting projects or discrete pieces of work, including planning activities, coordinating actions, tracking progress and delivering outputs to agreed timescales
- Strong organisational and time‑management skills, with the ability to balance competing demands effectively
- High level of accuracy and attention to detail, with a methodical approach to reviewing, organising and maintaining information
- Excellent written and verbal communication skills, with the ability to present complex information clearly and concisely to a range of audiences
- Confidence in liaising and working effectively with a variety of stakeholders across teams
- Ability to work independently using initiative, while also collaborating effectively as part of a team
- Proactive and solution‑focused approach, with the ability to identify issues, suggest improvements and contribute to continuous improvement
- Strong digital skills, including an excellent working knowledge of Microsoft Office applications (Outlook, Teams, Word, Excel)
- Experience using websites, databases, document management systems or online platforms as part of a role
Desirable
- Relevant training or qualifications in office administration, information management or project management
- Experience supporting process improvement, content review, or small scale change initiatives
