Role
The role of the Commercial Events Assistant is to support the University’s; Commercial Venue and Events activity, from taking initial enquiries, handling bookings, organising internal logistics and meeting the client and being the university point of contact during the booking.  

 

Duties and responsibilities

  • Being a key contact for the commercial venue function, including responding to enquiries via email and phone, answering client queries, processing bookings and being the main contact on the day of the booking.
  • Working with the Estates department to organise logistics to successfully deliver commercial venue hire.
  • Working with university stakeholders to ensure the smooth running of venue hire activity, alongside other university business. 
  • To support the administration of commercial events and activities, including processing invoices and raising POs.
  • Develop and maintain documentation and systems in line with University and Departmental procedures to include developing commercial documentation and Management reporting information.
  • To ensure we are creating an inclusive environment for, staff, students and commercial venue guests. 
  • You are responsible for undertaking health and safety responsibilities and duties for your role, as detailed in the University of Gloucestershire's 'Health and Safety Responsibilities' document and any supporting risk assessments that relate to your position. As part of general responsibilities, all staff have a duty to take care of themselves whilst at work and others who may be affected by their acts or omissions. 
  • To undertake any other duties and responsibilities, commensurate with the grade of the post, properly directed by the line manager.  These variations will not change the general character of the post or the level of responsibility entailed.

Skills and experience

  • Educated to GCSE level (Grade A – C) or equivalent in English and Maths.
  • Ability to use IT packages.
  • An understanding of the events industry. 
  • To be comfortable working in a fast paced environment 
  • Excellent organisational skills, being able to work under pressure, prioritise and meet deadlines. 
  • Able to maintain a high level of accuracy with meticulous attention to detail. • Excellent customer care skills.
  • Excellent interpersonal skills.
  • A good team worker with ability to work on own initiative. 
  • Commitment to undertake further training as appropriate. 
  • Flexible approach to work including working days/hours and cross-Campus working. 
  • An understanding of the importance of equity and diversity within an organisation and a commitment to helping create an inclusive culture.

Location
The post will primarily be based at the Oxstalls and Park campuses; however, there may be an expectation that you will be required to work at any of the University’s campuses.

Additional information
Ideally a second year student who is able to work over the summer, with the idea to work reduced hours during the 26/27 academic year.  

The post will primarily be based at the Oxstalls and Park campuses; however, there may be an expectation that you will be required to work at any of the University’s campuses.

The role requires a degree of flexibility regarding working hours, including occasional evenings, weekends, and weekday starts before 08:30.
