Role
The overall purpose of this role is to provide a high-level professional HR administrative support for the Staff Recruitment Process. It is a busy and varied role, where no two days are the same.
Duties and responsibilities
To provide high level professional HR administrative support for the Staff Recruitment process within WMG.
General Recruitment Administration
- To co-ordinate the smooth running of the recruitment administrative process within WMG for roles at all levels, this includes but is not limited to capturing a recruitment brief for roles, and co-ordinating the process for WMG Exec approval. Reviewing the Job Description and Person Specification and where necessary drafting adverts for internal and external recruitment, and temporary assignments (e.g. secondments).
- To review and approve interview panel compositions, in line with University policy and WMG guidelines, ensuring a trained, independent chair is appointed for each interview panel.
- To act as the HR representative on interview panels, or where not needed to brief the panel in advance and check that the panel is quorate etc. Providing feedback to unsuccessful candidates where requested.
- To provide guidance and support to the HR Assistants on more complex recruitment queries within WMG.
- To act as first point of contact for more complex recruitment and redeployment queries and, where possible, to use initiative to make decisions independently ensuring University policies and procedures are followed.
- To liaise with colleagues in the University HR department, payroll/pensions department, senior line managers within WMG and the University to resolve queries.
- To support and implement administrative changes within the team, where appropriate contributing to the design and development of new recruitment processes and procedures.
- Ensure adherence to agreed procedures including robust and legally compliant recruitment processes in line with HM Visa & Immigration right to work regulations.
- To liaise with key stakeholders in WMG regarding the escalation of high priority requests.
- To ensure that up to date records are kept and are GDPR compliant.
Reporting
- To provide regular reports on staff recruitment, status of applications throughout the recruitment cycle (e.g. diversity of applications/shortlists, time to fill vacancies, conversion rates etc), ensuring compliance with GDPR regulations and reporting potential data breaches. This includes establishing and producing reports for Athena Swan, and in support of WMG’s Positive Action campaign.
- To produce monthly reports and provide a basic analytical overview as required. This is to include, but not limited to, progress on all aspects of recruitment in each Directorate to allow the HR Business Partner and HR Officer to update key stakeholders within WMG. Where necessary generate brief overview reports and status as required outside of this timeframe.
- To generate Recruitment KPIs on a monthly basis to feed into the WMG Exec operations dashboard.
Other
- To undertake any other duties and responsibilities as required, which fall within the grade of the post.
Skills and experience
- Educated to A level or equivalent
- Previous experience of staff recruitment administrative processes
- Proven experience of working and/or understanding of different advertising mediums, including social media.
- Experience of working in a complex HR or administrative environment, providing advice and guidance and processing high volumes of work.
- Excellent organisational skills
- Ability to respect confidentiality and ensure GDPR compliance
- Ability to deal with difficult or sensitive issues in a professional maner.
- Excellent customer service skills and a positive attitude towards delivering a customer-focussed service.
- Outstanding written and oral communication skills at all levels, including drafting correspondence
- Accuracy and attention to detail.
- Excellent IT skills exemplified by the use of Microsoft Office, especially word and excel
- Working knowledge of HR recruitment processes
- A good understanding of administering HR processes and establishing and maintaining records/databases
- Ability to work on own initiative and make suggestions for improvements
- Ability to work as part of a team
- Willingness to learn and develop through projects, team activities and training.
- CIPD qualified
- Proven experience of coordinating an administrative process within a busy administrative environment
