Role

Unitemps are recruiting for a Employee Relations Administrator within Employee Relations. The role is to work ASAP and will run until 21th December 2026 part time at 14.6 hours per week. Payment is set at £19.14+ holiday pay per hour and the role will be HYBRID based.
 
The Employee Relations team, part of UCL's HR Division, is a centre of excellence, providing strategic expertise on employee relations (ER) and employment policy matters across UCL, and owns the central relationship with the unions.
The Employee Relations Administrator will provide a comprehensive administration support service to a team of ER professionals, whose objective is to ensure that UCL’s treatment of employees is fair, respectful and consistent with the university’s policies and values. This opportunity is a part time job share role opportunity covering maternity leave.

Duties and responsibilities

  • Support the administration aspects of casework management including collating and produce case packs for investigations, disciplinaries, grievances and employment tribunals
  • Organise and support meetings related to case management, including booking rooms, coordinating attendee information, issuing invitations, preparing case documentation, and capturing meeting notes
  • Manage large quantities of sensitive information in accordance with data protection legislation, ensuring that all case documentation is filed accurately in line with UCL policies
  • Maintain accurate case records in a timely manner using the case management system, to ensure the integrity of data
  • Collating and analyse key data as required and presenting reports in a user-friendly and professional manner
  • Advise a range of stakeholders, including parties involved in cases on Employee Relations procedures and case processes communicating in an efficient, effective and sensitive manner
  • Act as first responder to ‘Report & Support’ submissions, triaging cases and making referrals to the appropriate team for resolution, ensuring service standards and timeframes are being met
  • Escalating to the Employee Relations Managers Report & Support submissions that raise significant potential risk
  • Assist with the management of the team’s budget and processing invoices
  • To have a clear understanding of the UCL’s Employment Relations Policies
  • To contribute to the development and implementation of administrative protocols/procedures within the Employee Relations Team
  • Arrange training, travel and catering for the team and support the Employee Relations Director as required
  • Carry out any other duties commensurate with the grade and purpose of the post

Skills and experience

  • Significant level of experience and skill acquired in an administration role or similar (ideally within HR)Experience in minute taking with a high level of accuracy
  • Experience of managing sensitive and confidential information
  • Ability to communicate well both verbally and in writing, to convey clear and detailed information with a wide range of stakeholders and maintain professionalism in challenging situations
  • Ability to work collaboratively with others
  • Highly organised with solid attention to detail
  • Good level of computer literacy including a sound working knowledge of spreadsheets and computerised databases (ideally Word, Excel, PowerPoint and Access)
  • A demonstrably high standard of accuracy in word-processing, data analysis and presentation of work
  • Having a positive and helpful approach to work
  • Treating others with respect and fairness
  • Taking proactive steps where you see an opportunity to fulfil a need
  • Able to build rapport with stakeholders and keeping them informed
  • Working methodically, prioritising and managing tasks

Desirable criteria

  • CIPD or other HR qualification
  • Experience of working in an employee relations administration role
  • Experience of working within a large HR team
