Role
Our client are a dynamic theatre production company producing and touring high-quality live entertainment across the UK and internationally. The company operates with a small, collaborative core team of producers supported by marketing, finance, and production professionals, alongside a network of freelance specialistsThey are seeking an organised, proactive, and enthusiastic Assistant to the Producers to support the day-to-day running of our productions and company operations. Duties and responsibilities
The Assistant to the Producers will provide administrative, organisational, and creative support across all stages of production – from development and contracting to touring and performance delivery. The role requires strong coordination skills, attention to detail, and the ability to work flexibly within a busy and fast-paced environment.
- Manage producers’ diaries, schedule meetings, and coordinate travel and accommodation (including hotel and train bookings)
- Organise and maintain producers’ inboxes, applying rules and monitoring/actioning/forwarding as appropriate.
- Input tour information into Segue and update shared show files and cloud-based records.
- Assist with data entry, sales reporting, and company statistics.
- In time, assist with tour routing and venue bookings.
Production Support
- Draft, issue, and track deal memos and contracts for cast, creatives, and venues.
- Maintain accurate contract and production documentation.
- Support audition processes – scheduling, communication, and logistics, providing administration support on the day.
- Attend production openings and provide on-site assistance to producers when required.
- Coordinate logistics for rehearsals, auditions, and touring activity.
- Assist in sourcing, collecting, and transporting props, costumes, and technical equipment using the company vehicle.
- Arrange travel, accommodation, and hospitality for artists and staff.
- Provide hands-on support during production periods, including venue visits.
- Liaise with the Head of Marketing and Commercial to ensure producers are aligned with campaign activities.
- Support merchandise logistics, including postage, packaging, and distribution.
- Assist with gathering marketing and sales data for reports and funding applications.
- Support general office administration and company-wide operations.
- Act as first point of contact for general enquiries to the producing team.
- Support the preparation of funding applications and company reporting.
- Contribute to team meetings and creative brainstorming sessions.
Skills and experience
Essential:
- Excellent organisational and multitasking abilities with strong attention to detail.
- Effective written and verbal communication skills.
- Strong interpersonal skills and a collaborative approach to teamwork.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and cloud-based systems (e.g., OneDrive, Google Drive).
- Ability to manage competing deadlines in a fast-paced environment.
- Willingness to travel and work occasional unsociable hours to support live events.
- Full UK driving licence.
- Previous experience in arts administration, theatre production, or live event coordination.
- Familiarity with theatre touring processes, contracting, and scheduling software (e.g. Segue or similar).
- Understanding of marketing and box office data reporting.
- An interest in developing a career in theatre producing.
