Description
Role
The Student Records Team is responsible for managing accurate and secure student data throughout the entire lifecycle, between enrolment and graduation (circa 30,000 students). The team ensures compliance with institutional policies and statutory requirements, supports key academic processes such as registration and course transfers, and provides information, advice and guidance together with responsive assistance to students and staff. The work of the Team is guided by principles of accuracy, integrity, and collaboration to deliver an effective, equitable, reliable and student-focused service.
Duties and responsibilities
Student Records Management
· Act as the first point of contact for all matters relating to UG, PGT and PGR students, ensuring high-quality, accurate and timely student records.
· Maintain up-to-date information within the University’s student record system and other relevant databases, working to defined processes and deadlines.
· Manage and adjust data to ensure it is workable and aligned with Student Records processes.
· Ensure the accuracy of student data by identifying errors, verifying information with students and departments, and making necessary corrections.
Advice, Guidance and Service Delivery
· Provide advice and guidance to students and departments on Student Records policies and processes.
· Respond to a wide range of enquiries from internal and external customers via email, telephone and occasional in-person interactions, directing queries to other teams when appropriate. · Collaborate with colleagues across the University to deliver a consistent, effective and efficient service.
Compliance and External Reporting
· Manage the University’s attendance monitoring process as a first point of contact.
· Update external agencies—including UKVI, HESA and Student Finance England—in line with defined procedures, deadlines and reporting requirements.
· Support the Student Records Manager in validating data quality and ensuring continuous improvement in service delivery.
Process and Quality Improvement
· Contribute to maintaining and updating defined processes and procedures to ensure they remain accurate, relevant and fit for purpose.
· Support ongoing improvements to systems, workflows and data quality within the Student Records Team.
Wider University Contribution
· Participate in University activities such as degree congregations.
· Undertake any other tasks as required and appropriate to the grade.
Skills and experience
Essential
• Good educational standard, preferably to ‘A’ Level standard, with GCSE passes (grade C/4 or above) in Maths and English. Relevant experience will be considered as an alternative.
• Demonstrable IT experience including word-processing, spreadsheets, databases and email, together with a willingness to learn new IT systems as required.
• Ability to understand and learn complex procedures, applying them accurately and advising others on their application. With strong attention to detail within a complex, timebound and heavy workload.
• Personal time management skills and the ability to prioritise and work quickly whilst maintaining accuracy.
• Self-motivated, prioritising tasks, working to deadlines and with limited supervision
• Demonstrable written and verbal communication skills for interaction with University departments,
• students (including family members) and external organisations. Dealing with different people whilst being sensitive, tactful and maintaining confidentiality as appropriate.
• Excellent communication skills, dealing with others in a professional manner at all levels.
• Ability to make decisions within established guidelines and procedures.
• Ability to work collaboratively to identify and deliver service improvements.
Desirable
• Previous experience of using a student record system (preferably SITS)
