Student Registry Services are recruiting a team of Enrolment Assistants to play a key role in welcoming over 27,000 new students to UCL.As an Enrolment Assistant, you’ll be part of a high-performing team supporting a crucial step of the student journey. You’ll help ensure that new students are successfully enrolled and ready to begin their studies, providing both behind-the-scenes administrative support and front-facing assistance during one of the busiest and most exciting times of the academic year. This is a fantastic opportunity to gain experience in a fast-paced higher education environment, develop valuable administrative and customer service skills, and contribute directly to the student experience.

Job Description

Working as part of UCL Enrolment Team you will join a team of enrolment assistants who are responsible for carrying out a series of key tasks to ensure that students are enrolled promptly for the start of the academic session. These tasks will be completed using Portico, and will include data entry, checking students’ enrolment details and responding to enquiries.

Duties and responsibilities
Working as part of the Enrolment Team, you will:

  • Process student enrolments using UCL’s student records system (Portico)
  • Accurately check and input student data, including personal, programme, passport, and visa details.
  • Review and update records in line with established guidance and procedures
  • Respond to student enquiries via Portico, providing clear, accurate, and helpful guidance.
  • Escalate complex cases to your supervisor where needed.
  • Support face-to-face enrolment helpdesks during Welcome and Induction activities.
  • Communicate effectively with your team and supervisor on progress and issues.•
  • Work in line with UCL policies, including equality, diversity, and health & safety standards.

Skills and experience
We’re looking for organised, detail-focused individuals who enjoy working as part of a team and delivering excellent service.

 
  • Strong IT skills, including Microsoft Office and database systems
  • Excellent attention to detail and accuracy in high-volume data entry
  • Clear and professional written and verbal communication skills
  • Strong interpersonal skills with a tactful and diplomatic approach
  • Ability to quickly learn new systems and procedures
  • A collaborative mindset and ability to ask for support when needed
  • A strong commitment to delivering excellent customer service
Desirable:
  • Experience in an administrative or data entry role
  • Experience in a customer-facing or service environment

Pay details:

 
Hourly Pay: £16.76
Holiday Pay: £3.14

Additional information
The Enrolment Assistant will be expected to work on campus and work 9am-5pm. Due to customer service nature of the role we cannot support hybrid working.

 
The Enrolment Assistant will be expected to work on campus either in the office or at the enrolment helpdesks at Bloomsbury or East campus to support face-to-face queries. Working hours will be 9am-5pm. Due to the customer service nature of the role we cannot support hybrid working.
Annual leave cannot normally be taken during the enrolment period (17 August -2 October 2026) unless for exceptional circumstances. Please review your schedules including any work, leave or study commitments before applying.
 
Staff may also be required to work the weekend 26 and 27 September.
