Role
The University of Surrey are seeking 2 Conference Receptionists.

 
To provide a full and comprehensive customer-focused reception for the University of Surrey based on Stag Hill campus. The post holder is the first point of contact for students, staff, visitors, guests and other customers, ensuring they are provided with a positive first impression of the service and answering all enquiries in a polite and professional manner.
 
£12.71 per hour.
£1.53 per hour holiday pay.
Start the 15th of June until the 6th of September.
Monday – Friday 12pm -8pm - with occasional weekend daytime work where a day off in lieu will be provided.
 
Both sites will be covered with additional team members and support until 5pm and 6pm – lone working can be between 5pm -8pm at Manor park and 6pm-8pm Stag Hill.
Campus safety on hand and on busy arrivals additional team support depending on the size of check in.
Team leader/management remote support until 8pm each week.

 

 

Duties and responsibilities

  1. Deliver an excellent front-of-house experience, acting as a friendly, helpful, and informative first point of contact for all reception users. Handle enquiries and complaints courteously and efficiently, resolving issues promptly or escalating as appropriate.
  2. Manage all incoming conference related calls for maintenance requests and issuing new keys/key cards for lockouts.
  3. Maintain a tidy, professional, and welcoming reception area, ensuring all signage and information materials are current, accurate, and well presented.
  4. Prepare, issue, and manage accommodation keys for conference guests, ensuring secure handling and accurate record-keeping at all times.
  5. Working with the Campus Welcome team for all check-ins, check-outs, and departures, providing clear information and support throughout guests’ stays.
  6. Respond to general accommodation and campus enquiries, offering a concierge-style service including directions, local information, facilities guidance, and event information.
  7. Record and report maintenance issues within accommodation and public areas, liaising with relevant teams to ensure timely resolution and clear communication with guests.
  8. Maintain a good working knowledge of university structures, key contacts, events, academic cycles, policies, and procedures to provide accurate advice and guidance to visitors and guests.
  9. Manage parking queries for guests and visitors.
  10. Support the preparation, arrival, and welcome of summer conference guests, ensuring a smooth and professional guest experience throughout their stay.
  11. Process payments accurately, including credit/debit card and cash transactions, and take responsibility for cash handling in accordance with university financial procedures.
  12. Carry out general administrative and office duties, creating check in guides for large conferences based on information provided by the conference team.

Skills and experience

Essential Criteria

  1. Experience of working in a customer service environment.
  2. Experience dealing with enquiries both on the telephone enquiries and face to face customer contact.
  3. Good keyboard skills and working knowledge of Microsoft Office, booking systems, email, database entry, the internet.
  4. Numeracy and cash-handling skills.
  5. Ability to handle issues calmly and efficiently.
  6. Excellent organisational and multitasking abilities.
