Role
Surrey Space Centre at the University of Surrey are seeking an Event Assistant to support the delivery of a workshop hosting around 40 attendees.

 
The role will cover the final preparation period (1.5 day the week prior to the event) and the full duration of the event (3.5 days). The successful candidate will play a key role in ensuring the conference runs smoothly and professionally.
 
£13.18 per hour.
£1.59 per hour holiday pay.
 
This is a temporary role covering the 1.5 day prior to the event (Thu. 4 June afternoon, Fri. 5 June) and the full workshop duration (Mon. 8 June - Thu. 11 June morning) - you must be available these dates.
 
 

Duties and responsibilities

Assist with final logistics planning and coordination, including testing audio-visual equipment, preparing delegate welcome packs, and organising signage.

Liaise with key stakeholders (catering team, social dinner venue, and university staff) to manage last-minute requirements and resolve any issues that may arise.

Provide on-site technical support to speakers, ensuring smooth setup and transitions between sessions.

Act as the first point of contact for attendees, speakers, and suppliers during the event, responding to queries and ensuring a positive experience for all.

Skills and experience

Strong organisational and time-management skills.

Strong social/communication skills, approachable attitude.

Ability to remain calm and improvise under pressure.

Familiarity with the University of Surrey, mostly the Stag Hill campus.

Desirable Experience:

Previous experience supporting events, conferences, or similar activities (customer-facing roles).

Experience with budget management/analytical skills (in case last-minute issues arise in our budget, which would force us to revise it).

Basic experience with the university's audio-visual/IT equipment, to help the speakers with technical issues that may arise (you will have time to familiarise yourself with the equipment before the event).
