Role

The Exam Support Assistant will play a vital role in the ensuring the accuracy and integrity of the assessment process, and in ensuring  all students have a consistent experience of examinations in a secure, confidential, and appropriate environment.

 

The postholder will assist the Engineering Student Office (ESO) with managing the receipt of and distribution of exam scripts, as well as the checking and scanning of the exam scripts from the summer exam period. This role ensures that assessment data is complete, correct, and compliant with institutional procedures before results are used at the exam board and released to students.

 

Occasional invigilation of examinations may be required to cover absences.

 

This role reports to the Assistant Programme Managers (UG and DA) and/or Programme Coordinators within the ESO.

Unfortunately, due to the nature of the tasks involved, we are unable to accept applications from current Warwick UG or PGT students. We welcome applications from current PHD students provided you do not already have a GTA contract with the University of Warwick.

Duties and responsibilities

Exam scripts:

  • Collect and organise all examination materials required for checking, including exam scripts, Tabula mark printouts, and the attendance registers.
  • Carry out script checking process for all scripts which consists of verifying:
    • Scripts have been fully marked and moderated according to the marking policy
    • The final mark is the one added to the system for the correct student
    • Identify and report any errors, inconsistencies, or missing information in the scripts or Tabula records.
  • Assist with the collection, storage and return all scripts, checklists, and paperwork to the ESO team upon completion.

Exam papers:

  • Responsible for the scanning of papers or assignments
  • Uploading to cloud systems such as SharePoint for accreditation and external examiner review.

 

Invigilation:

  • To assist with the management of an examination session examinations  to ensure compliance with the University’s Examination Regulations by students and the University, including:
  • Supporting the invigilator(s) during the examination session
  • Ensuring documented processes, procedures and regulations are followed
  • Assist with laying out examination materials
  • Assist with recording attendance and checking identity;
  • Assist with collecting and reconciling examination scripts

• To allow students entry to the examination room ensuring compliance with the examination regulations;

• To ensure, if assisting within an Alternative Exam Arrangements room, that specific reasonable adjustments are provided for individual students in line with the instructions from the Examination Team;

• Assist to ensure absent students are correctly recorded;

 • Assist to report all queries on examination papers to the Examination Team;

• Assist to report suspected breaches of examination regulations and/or suspicious student behaviour to the Examination Team and ensure the relevant documentation is completed and submitted;

Any other duties as required by the Examinations Manager and Programmes Managers/Coordinators commensurate with the requirements and responsibilities of the role.

Skills and experience

SKILLS

  1. Good level of education (A level or equivalent qualifications or experience)
  2. Good, clear verbal and written communication skills including the ability to give clear and accurate instructions assertively and record discrepancies and notes clearly for colleague review. .
  3. Ability to work without supervision and ability to follow documented processes and procedures.
  4. Reliability and accuracy in reviewing numerical and written information
  5. Ability to understand, comply with and enforce the University Examination Regulations.
  6. A flexible approach with the ability to adapt to changes at short notice.
  7. Willingness to undertake training.
  8. High attention to detail and able to identify numerical and procedural errors with accuracy.
  9. Strong organisational skills and capable of managing multiple tasks  systematically.
  10. Ability to follow structured processes and comfortable working with standardised checklists, procedures, and marking protocols.
  11. Strong time management skills, being able to work efficiently within set deadlines during peak assessment periods.
  12. Confidentiality and professionalism, with the ability to understand and maintain confidentiality and handle sensitive materials and data responsibly,  with an awareness of GDPR.

Experience

  1. Experience working in administrative or data-checking role (e.g., assessment support, quality checking, exams administration, office administration).
  2. Experience handling confidential information in a professional context.
  3. Familiarity with checking documentation against records (e.g., comparing physical data to system entries).
  4. Experience working with assessment systems such as Tabula (desirable but not essential; training is provided).
  5. Experience working within a university, educational, or regulated environment (desirable).
