Role
We are recruiting for a personable, confident and professional individual to fill the role of Corporate Receptionist within a busy and vibrant corporate environment. As the first point or contact for all visitors and staff you must be able to demostrate an exceptional level or customer service and awareness, a passion for providing a welcoming, courteous and polite Reception.
They follow company service standards at all times, delivering highly efficient and proactive support to both employees and clients. The role holder ensures the smooth running of daily reception operations and the upkeep of common areas, maintaining an environment that is welcoming, well-organised, and reflective of the client’s brand
Duties and responsibilities
Meeting and greeting Visitors and Employees in friendly professional manner
Responsible for ensuring all Visitors and Employees sign in and out and are issued with the correct passes according to the SOP's
Bringing to the attention of all visitors the standard instructions regarding Fire procedures
Consistently deliver on performance, maintaining high levels of FOH standards
Work and comply with the Company's policies and procedures, governance framework and standards, as detailed in the SOP's
Maintain confidentiality at all times
Adhere to all QSHE related procedures and H&S Legislation, reporting any relevant risks, near misses, accidents or incidents to the Line Manager
Contribute to best practice sharing ideas and supporting fellow team members
To undertake any training and development as deemed necessary for the pursuance of the post
To approach all customer complaints in a calm, empathetic and professional manner
Ability to remain calm and professional at all times
Undertake and complete all relevant trainings
Participate in Performance Development Review process
Maintain a log of all visitors for the benefit of security and evacuation procedure
Become familiar with building procedures such as parking, deliveries and security procedures
Being vigilant for any suspicious activities in or around the reception area and notifying the appropriate client staff during normal working hours of any such movements or intruders
To carry out client Fire procedures in the event of an evacuation
Informing visitors or staff about building facilities
Handle incoming calls and emails in line with contract SLA
Become familiar with the building and surrounding area to provide directions and other relevant information to building visitors
Operating a switchboard in a warm, confident and happy manner
Use materials and resources effectively and efficiently to minimise waste and consider the impact of potential actions on the environment before taking business decisions
Reservation of meeting rooms on a computerised meeting room booking system
Assisting attendees with enquiries
Assist with meeting rooms set up as per booking arrangements
Ensure the cleanliness of the meeting rooms is up to standard
Liaising with the hospitality floor and catering team to ensure seamless delivery of meeting requirements
Skills and experience
Ability to work independently, remaining focused and motivated
The ability to work independently and use initiative
Efficient and courteous manner
Ability to handle difficult customers and work under pressure
At least 1 years previous experience of providing reception services in a busy Corporate environment Previous experience of working in a diverse service delivery team
Ability to handle and manage queries and messages from visitors and staff members, in a timely, efficient, friendly and helpful manner
The ideal candidate will continuously pursue high standards, embrace change, recognise improvement opportunities, and learn from experience
