ROLE:
Unitemps is working on behalf of a local charity to recruit a full time Programme Support Officer. The role is to provide general administrative support for the dynamic charity, that sends medical aid to Africa and to ensure a strong relationship is maintained with our partners, volunteers, donors, supporters, and members of the public.
We are looking for an organised individual who has an interest in humanitarian aid/charity work and possesses excellent IT and communication skills.
The working hours are as follows: 37.5 per week over Monday to Friday, between 8am - 6pm and are to be worked at the charity’s office based in LE7 .
- The role is to start by 13th April and is fixed term maternity cover until April 2027.
- The annual salary is: £25,725.00 per year.
About the client: Inter Care is registered charity (no. 275637) who aims to collect surplus health care goods and medicines (donated and purchased) to send rural health units in Africa. The charity excels in providing vital medical aid to vulnerable patients across in Africa and achieved a highly prestigious Queens Award for Voluntary Service in 2012.
Duties and responsibilities
Based in the Inter Care office in Syston, the purpose of the role is to support the CEO in the smooth running of the office and warehouse. This will be a very varied role, as in addition to regular administrative activities, the role will work alongside our partner health units in Africa on this busy programme of work.
1. Provide general office administration
a. Dealing with telephone, postal, email and visitor enquiries
b. General Admin such as filing and document preparation, ordering stationery, office supplies etc.
c. Inputting data accurately into computerised databases and spreadsheets; retrieving and analysing data
d. website maintenance
e. creating an internal newsletter for volunteers
2. Act as key contact point
a. Arrange the incoming and outgoing of medical supplies
b. Liaising with staff, volunteers, donors and clinics in Africa, to collect and distribute information as needed
3. Support the overseas programme
a. Arranging quotes from logistics suppliers
b. Organise all of the administration associated with sending medical supplies to Africa
c. remote desktop monitoring & evaluation including gathering case studies and feedback from the partner health units
4. Additional information
a. the job holder may be required perform any other reasonable duties, commensurate with the post, required by the CEO such as representing the charity at conferences etc.
b. a smart appearance is required as representing the charity as the key contact point
c. clear communication skills are essential to the role
d. attention to detail is essential
e. This role may suit a recent graduate looking for experience in the humanitarian aid sector.
Skills and experience
Essential Criteria
- Bachelor’s degree or equivalent qualification
- Excellent written and verbal communication skills in English
- Good ability to take on administrative tasks
- High level of attention to detail and accuracy
- Proficient IT skills, including use of databases, spreadsheets, and general office software
- Ability to manage multiple tasks and work in a varied, fast-paced environment
- Confident in handling enquiries via telephone, email, post, and in person
- Ability to build and maintain effective working relationships with a wide range of stakeholders (staff, volunteers, donors, partners, and the public)
- Ability to work independently and take initiative while supporting senior staff (e.g. CEO)
- Enthusiastic and motivated, particularly towards charitable or humanitarian work
- Highly organised and methodical
- Reliable and proactive approach to work
- Flexible and willing to take on a variety of tasks
- Strong interpersonal skills and team-oriented mindset
Desirable Criteria
- At least 1 year of administrative experience
- Experience working or volunteering within a charity or humanitarian sector
- Interest in humanitarian aid, global health, or international development
- Experience maintaining websites or creating newsletters
- Experience coordinating logistics or working with suppliers
