Role
Unitemps are recruiting for a Student Welcome and Induction Officer within the Education Services, Student and Registry Services. The role is to work the date of 1st May 2026 and will run until 11th December 2026 full time at 36.5 hours per week . Payment is set at £19.14 + holiday pay per hour and the role will be CAMPUS based.
Student and Registry Services is one of the larger Professional Services divisions at UCL, providing essential services to UCL’s 50,000 students, 160,000 applicants and for supporting academic departments and administrative staff in delivering a high-quality student experience.
UCL’s Education Services department is part of Student and Registry Services and is responsible for providing a range of services that centre around UCL’s education and student experience policy framework. The department plays a key role in ensuring that our regulation, policy, and student engagement framework support the delivery of UCL’s education strategy and our compliance with Office for Students ‘B conditions’.
The Student Welcome and Induction team are responsible for ensuring that new students joining UCL receive a positive and consistent experience that provides strong foundations for them to undertake their studies and make the most of their time at UCL..
As Student Welcome and Induction Officer for Transition, you will contribute to the planning, delivery and administration of the Transition Mentor Programme which supports all first-year undergraduate students. Working closely with the Student Welcome and Induction Team, you’ll also play a key role in ensuring that our on campus welcome services at Bloomsbury and UCL East (such as managing ambassadors, supervising ID card collection and helpdesks) run smoothly during welcome. You will work closely with Senior Student Welcome and Induction Officers on their own projects and work such as communications, training temporary workers, or liaising with colleagues from across UCL.
Duties and responsibilities
UCL Transition Mentor Programme administration and support
- Leading on the coordination and delivery of the Transition Mentor Programme as directed by the Senior Student Welcome & Induction Officer
- Supporting the Transition Mentor Programme’s 750+ Transition Mentors and 80+ Senior Mentors, including managing records, tracking mentor engagement, and responding to enquiries from mentors and mentees
- Recruiting and training UCL students to work as Transition Mentors and Senior Mentors, processing applications, contacting mentors by email and phone, coordinating training sessions, and maintaining accurate records
- Liaise with department staff to ensure mentor group allocations and Meet your Mentor sessions are coordinated.
- Coordinate and deliver mentor training and briefing sessions, including scheduling, and preparing materials and delivering content
- Monitor and action mentor attendance and timesheet submissions, ensuring accurate reporting and timely communications
- Contribute to the evaluation of the Transition Mentor Programme by gathering feedback from
- Support the Student Welcome and Induction team delivery of Welcome and Induction activities at Bloomsbury and UCL East campuses. This includes leading key areas of campus such as ID card collection, helpdesks or managing ambassadors and volunteers on campus
- Take the lead on the coordination and delivery of events, webinars or communication campaigns as directed by the Senior Student Welcome and Induction Officer.
- Collaborate on the development and content of digital information for students, such as social media campaigns, webpages, or application resources (UCL Go).
- Support the Student Welcome and Induction team delivery of Welcome and Induction activities at Bloomsbury and UCL East campuses. This includes leading key areas of campus such as ID card collection, helpdesks or managing ambassadors and volunteers on campus
- Take the lead on the coordination and delivery of events, webinars or communication campaigns as directed by the Senior Student Welcome and Induction Officer.
- Collaborate on the development and content of digital information for students, such as social media campaigns, webpages, or application resources (UCL Go)
- Supporting colleagues with the delivery of other Welcome & Induction programmes and events
- Provide support to service delivery staff with ad hoc queries
- Manage and monitor the Welcome and Induction inbox and respond to queries and referring more enquiries to the Senior Welcome and Induction Officer.
- • The post holder does not directly supervise any staff within the Student Welcome and Induction team but will be expected to help manage student workers, temporary staff and professional service staff supporting the on-campus welcome activity.
Special working conditions
- For staff working in Student Welcome and Induction, leave cannot normally be taken between the last week in August and first week in October. Staff may also be required to work on the occasional weekend during this period
- During the main welcome period in September-October, staff will be required to work extended hours on campus for most, or all the working days
Skills and experience
- Qualifications commensurate with education to A-level or equivalent
- Experience of co-ordinating projects or programmes
- Administrative experience, including record-keeping and data management
- Experience of working collaboratively within a complex organisation
- Excellent organisational skills, with the ability to manage multiple tasks and meet deadlines. Strong IT skills, including Microsoft Office (Word, Excel, Outlook and Teams), with the ability to use Excel for basic data management tasks such as sorting, filtering and basic formulas
- Strong attention to detail and accuracy in administrative tasks
- Ability to work effectively as part of a team, while also taking initiative and working independently
- Excellent oral and written communication skills, with the ability to draft clear and professional emails to a range of stakeholders
- Assessment Awareness of and sensitivity to different cultures and diverse student populations
- Knowledge of student support services, mentoring schemes or peer-led programmes
- Experience of using Power Automate to manage data
