Role

The role below is only for Middlesex University students/Alumni 

As a Student Support Admin Assistant, you will play a crucial role in supporting the Global Opportunities & Short Course Officer. Your primary focus will be assisting student groups from Hong Kong and China participating in the Cultural and Language Immersion Scheme (CALIS) and IELTS preparation programme. You will also be involved in various administrative processes to ensure an excellent student experience.

Key Responsibilities:

  • Student Arrival Preparation: Assist in organising and coordinating logistics for student arrivals.
  • Enrolment and Inductions: Support the enrolment process and conduct induction sessions for new students.
  • General Office Administration: Perform routine office tasks to maintain smooth operations.
  • Student Support: Act as a key point of contact for students during the summer, providing guidance and assistance.
  • Learning Activities: Facilitate and support various learning activities to enhance the student experience.

Your contributions will be vital in creating a welcoming and supportive environment for international students.

There are two groups arriving, and their schedules overlap.

Duties and responsibilities

Preparation for Student Arrival

  • Review and check arrangements
  • Assemble welcome packs with Oyster cards
  • Prepare individual homestay student directions to and from the university
  • Prepare taxi lists for groups of students to be transferred to their homestays
  • Arrange taxi transfer
  • Meet students at London Heathrow Airport
  • Support students settling into accommodation
  • Order refreshments for groups

Administration Support

  • Prepare schedules
  • Prepare registers, meeting points, and maps for trips
  • Make ad hoc bookings
  • Deal with student enquiries
  • Provide administrative and clerical support
  • Support training for Student Service Learning and attend the primary school
  • Preparing student feedback, assisting in collecting info and downloading data to report
  • Print certificates

Enrolment and Orientation

  • Assist with enrolment
  • Organise WhatsApp group for students
  • Prepare for induction and enrolment
  • Take students on campus tours
  • Support off-campus orientation visits

Pastoral Care

  • Answer a wide range of general student enquiries
  • Advise students about travel
  • Help students to book doctor and dentist appointments if required
  • Report serious incidents to the Director

Supporting Learning

  • Answer student enquiries about life in London and British culture
  • Support service learning workshops for IELTS students

Cultural Events

You may be needed to attend on- and off-campus events, if one of the Student Support Assistants is unable to do work that day. 

  • Lead group to the attraction and provide information and direction where appropriate
  • Count students onto the coach upon departure of the trips
  • Check coaches for lost property and rubbish when back on campus
  • Walking tours in London, Oxford, Windsor & Brighton
  • Ensure students are reminded via WhatsApp of upcoming events to engage their interest
  • Be mindful of student welfare
  • Organise and host social events
  • Support and participate in sports events

General

General administrative support and assistance across cultural and social activities under the direction of the International Mobility & Short Course Officer

Skills and experience

Essential:

  • Excellent interpersonal and communications skills
  • Ability to work proactively with a minimum of supervision
  • Ability to work methodically to meet deadlines, paying close attention to detail
  • Ability to deal with enquiries pertinent to the post and to solve problems
  • Demonstrate experience in coordinating events, with evidence of being able to troubleshoot as necessary
  • Flexible approach and evidence of a high level of customer care
  • Ability to work well under pressure
  • Good team player
  • Intercultural awareness and empathy for international students, particularly from Hong Kong and China.

Desirable:

  • Knowledge of Middlesex University’s structures, procedures and regulations.
  • Previous experience of working with international students in an educational setting.
  • Knowledge of London’s attractions and services for visitors, in particular the public transport system.

Additional information

Flexibility: Working Mon-Fri; with weekend trips included. Given the need for flexibility in order to meet the changing requirements, the duties/location of this post and the role of the post holder may be changed after consultation.
