Description
Role
Responsible for delivering operational administrative services in support of the Disability Services admin team, by ensuring the provision of high-level professional, confidential and comprehensive administrative support, so that Wellbeing Services are able to operate smoothly and efficiently. The primary function will be to support the team through the processing of invoices and income generation payments in relation to Disabled Students’ Allowance.
Duties and responsibilities
- Process service expenditure e.g. invoices and manage income generation payments in relation to DSA.
- Co-ordinate the termly DSA invoicing and related processes such as collection and follow up of timesheets, to achieve income generation targets in accordance with the 5-year budgetary planning.
- Record departmental financial transactions including creating vendors, processing invoices and raising purchase orders.
- To provide administrative support to Wellbeing Support Services, including:
- Ensure enquires are responded to in a timely and appropriate manner.
- Produce and collate statistics from data sets, providing reports accordingly.
- Accountable for ensuring all systems are effective, efficient and compliant.
Skills and experience
Requirements:
- Educated to A-Level or equivalent, including GCSE Maths & English to grade C
- Significant experience of managing and providing administrative (incl. financial) support in a complex, busy customer-facing environment, including setting up and reviewing systems.
- Previous experience of working with confidential and sensitive information and personal data
- Experience of working effectively in a team environment and using own initiative.
- Demonstrably excellent interpersonal skills with the ability to communicate effectively with colleagues at all levels and provide exemplary customer service skills, including a calm and warm demeanour
- Excellent written and oral communication skills, and attention to detail
- Excellent IT skills
- Excellent organisational and time management skills with the ability to balance competing priorities, working quickly and accurately under pressure to meet tight deadlines
- Ability to adapt to changing and challenging circumstances and to identify and anticipate solutions.
- Good knowledge and understanding of University’s policy on data protection, compliance and equality and diversity with an awareness and understanding of GDPR legislation and the ability to apply accordingly
