Role

The stores team are responsible for managing goods inwards and the maintenance of essential stocks and provision of consumables for both undergraduate teaching and research laboratories across both the School of Life Sciences and Warwick Medical School.  

As the Stores Coordinator you will maintain an effective and efficient Stores service that is appropriate for the needs of academic community.  Your role will involve providing exceptional customer service contributing to the running and maintenance of an effective and efficient Stores facility. To ensure all goods are properly received and issue stock equipment and materials as appropriate, complying with Health & Safety regulations and guidelines at all times.  Contribute to the day-to-day support of research and teaching laboratories within the School of Life Science (SLS), Warwick Medical School (WMS) and appropriate RTPs at GH campus.

You will also assist the technical support team as necessary, carrying out manual handling and checking activities.

You will have good organisational skills with the ability to manage peaks of activity and be focused on customer service. Ideally, you will have previous experience in a stores or stock control environment.

Duties and responsibilities

  • Act as the first point of contact for stores enquiries, providing advice, troubleshooting and guidance on ordering, products, equipment and stock availability using the SAP finance system where applicable.
  • To oversee all goods coming into the School, including unloading and mechanical handling, ensuring that deliveries are dealt with efficiently and ensuring the secure and safe handling of goods at all times.  It is essential that all activities are in accordance with all relevant health and safety guidelines.
  • Maintain accurate stock inventories using SAP and other inventory systems, including monitoring stock levels, entering stock movements, barcoding, stock rotation and participation in stock counts, liaising with the Stores Manager and suppliers to ensure timely replenishment.

  • Administer courier services and deliveries, including booking shipments, managing returns and coordinating distribution of goods to users or departments.
  • To maintain records to ensure that users are appropriately charged for stock issues and assist with financial queries, stock discrepancies and audit requirements.
  • To ensure that the stores area is kept neat and tidy so that goods and staff are safeguarded (including ensuring the stores is not left unattended whilst open) and to facilitate the safe and efficient operation of the Stores.
  • To deputise appropriately for the Stores Manager if required.
  • Issue and monitor equipment, tools, assets and room keys, maintaining accurate records of issue, return and condition.
  • To assist the School’s technical managers with departmental and laboratory duties as required - this may involve manual handling (e.g. moving furniture and equipment, cleaning filters on high specification equipment and freezers, daily checking of freezer temperatures etc.)
  • To collect and distribute solvents and liquid Nitrogen to the School’s user community, observing Health & Safety regulations and guidelines.

Skills and experience

Essential Criteria

  • Good organisational skills
  • The ability to prioritise to manage peaks of activity
  • General H&S awareness and understanding
  • A full and current driving licence that entitles you to drive in the UK without restrictions.

Desirable:

  • Awareness of the H&S requirements of the stores area. In addition, an understanding of the consumables and equipment used in a life sciences environment would be helpful
  • The post-holder will ideally have previous experience in a stores or stock control environment
