Role
Unitemps are recruiting for two Events Officers within the VPEE Institutional Events department. The role is to work ASAP and will run until 19th July 2026 full time at 36.5 hours per week. Payment is set at £19.14+ holiday pay per hour and the role will be HYBRID based.
The postholder will proactively support the whole events process from the planning stage, administration, through to delivering the event and supporting post-event evaluation.
The role seeks to deliver a range of exciting events which professionally and creatively promote UCL to a range of audiences.
Our audiences and events include prospective students for our open days, current students at graduation, our staff at internal conferences and alumni, business leaders, political influencers and other national and international stakeholders in our more bespoke event programmes. All of these audiences are relevant for our Bicentenary Event programme.
Duties and responsibilities
- The postholder supports with logistical support for events delivered both in person and online.
- In person events include venue tasks including working with room bookings to book the space, porters, AV and catering teams.
- Online event tasks include liaising with Information Service Desk to set up the event and supporting with the delivery.
- Delegate management including creating invitation lists, inviting attendees, collate RSVPs and all other communications to attendees.
- Work across VPEE to produce invitations and event communications.
- Liaising with UCL departments and faculties to ensure their staff and students are kept up to date with our activity.
- Effectively manage event stewards, ambassadors and contracted staff and personally attend events as required, ensuring high standards and quality are maintained.
- Updating events calendars and project plans to reflect progress and ensure planning for the events is on track.
- Working with the Events Manager to embed evaluation into all activity and contribute to a culture of continuous improvement.
- Ordering events equipment or collateral as required
- Support the administration of VPEE events and dinners at our dedicated private dining venue.
- Support Event Manager with budget management including raising purchase order, supplier management, paying invoices and keeping budgets on track and up to date.
- Provide project management support at event working groups and meetings, including minute taking.
- Ensure that events are accessible and inclusive for all, while remaining abreast of digital and online developments so that virtual events are contemporary and reflect positively on the UCL brand.
Events Officer role 1:
The role will support on the organisation and delivery of UCL’s Central Open Days taking place on Friday 26 and Saturday 27 June to welcome over 16,000 prospective students and their guests to campus. The role will support the team's customer-facing inbox, assist with staffing and logistics for the large-scale events and help create a smooth attendee experience using our UCLGo app.
Events Officer role 2:
The role sits within the central Institutional Events team delivering flagship events for UCL for a wide range of internal and external audiences. Example events include signature events for our bicentenary, public lectures and bespoke events for our influential stakeholders. The role will support the team with all aspects of the events process from the planning stage, administration, through to delivery and post-event evaluation.
Skills and experience
- Experience of providing administrative support for a variety of activities
- Knowledge of how to deliver excellent customer service
- Experience of organising or supporting the delivery of events in a professional or voluntary capacity
- Excellent organisational skills and attention to detail
- Strong communications skills, both in person and in writing
- Excellent IT skills including a working knowledge of MS Office
- Ability to work to tight deadlines whilst maintaining high standards
- Ability to work outside of ‘normal’ office hours, including attendance at evening and weekend events
- Being practical and able to problem solve
- Responding to colleague, student and stakeholder needs with the intention to provide an excellent service
- Building rapport and being comfortable with others across different cultures and backgrounds
- Experience working in a higher education institution
- Experience of digital communications (for example updating web pages, running virtual events)
