The Role

This role will involve liaising across the university and with external networks to ensure an excellent administrative support function. This will include participating in and providing support to university-wide activities and events throughout the academic year, including on-campus events.

The work will involve a hybrid work model. It is expected that you will work on campus over 3 days per week Tuesdays required - Mondays and Wednesdays preferred as the other working day but negotiable week-by-week. The role is for 18.5 hours per week starting from 30/03/2026 to 22/05/2026. Student applications can be considered.

Duties and responsibilities

  • To provide a high level of administrative support to the Head and Deputy Head of the DMU Education Academy in the successful operation and running of the Academy.
  • To act as the first point of contact and deal with enquiries from staff, students and external clients using own initiative and/or by referring to the appropriate person.
  • To support planning and preparation for DMU Education Academy events and activities, from conception to delivery across events and projects.
  • To support the monitoring and compliance of educational projects within the DMU Education Academy.
  • To support the administering and archiving of educational projects at a University-wide level, including updating information on dedicated platforms such as the Virtual Learning Environment.
  • To produce complex itineraries and co-ordinate international/domestic travel and accommodation arrangements for staff and liaise with external visitors attending DMU Education Academy events.
  • To manage email distribution lists and develop systems and processes to ensure the efficient running of the office i.e. filing systems, data storage and retrieval.
  • To service internal meetings, project boards and meetings with external representation as determined by the Head and Deputy Head of the DMU Education Academy.
  • To support the organisation of events and visits including booking venues, arranging meetings, making travel arrangements and organising/providing hospitality for visitors as required.
  • To liaise with senior staff both within and outside the University regarding a variety of matters, including external compliance data that is of a highly confidential nature.
  • To create purchase requisitions on the system, and to ensure Purchase Orders are made for all bookings created, and are authorised with all spend duties of the role tracked.
  • To pen, prioritise and distribute (both paper and electronic) and respond on behalf of the DMU Education Academy email address and others to correspondence as needed.
  • To take a flexible approach to work within a multi-functional team to provide cover for other administrative staff as required to provide continuity of service.
  • To undertake a range of routine clerical and administrative duties with the DMU Education Academy team to ensure the smooth running of the office.

Skills and experience

  • Five GCSE’s, Grade C or above, including English & Maths (or equivalent experience)
  • Proven experience of complex diary management and servicing committees in an environment of rapid change, including managing purchase requisitions.
  • Proven experience of managing conflicting demands whilst maintaining deadlines and maintaining professionalism.
  • Excellent personal and interpersonal skills and the ability to interact with people at all levels.
  • Ability to collate and summarise information, providing succinct and accurate briefings.
  • Ability to assess situations, using initiative and judgement to identify appropriate solutions, including understanding the importance of confidentiality and sensitivity.
  • Experience of using Microsoft office 365 and knowledge and experience of using Microsoft Office packages, including Excel, Word, Outlook, Forms and PowerPoint.
