The Role

We are looking for a highly organised and professional PA/ Senior administrator to support Director-level colleagues within our central Executive Services team.

This varied role involves providing high-quality secretarial and administrative support, managing changing priorities, and contributing to the smooth running of Executive Services. You will be adaptable, detail-focused, and confident working collaboratively while handling sensitive information with discretion.

You will work 37 hours per week on a hybrid basis, the role will start as soon as possible with an expected end date of 01/05/2026

Duties and responsibilities

  • Maintain accurate appointment diaries, prioritising appointments and optimising the use of time. This may include coordinating travel and accommodation arrangements where system access allows.
  • Support directorate and Executive Services team activities, including administration and reporting, finance processes where system access allows, facilities coordination, travel bookings, resource management and health and safety tasks.
  • Maintain effective administrative systems and processes, including filing, data storage and retrieval.
  • Provide proactive, confidential and reliable administrative support, flexing to meet the needs of colleagues across the directorate and Executive Services team.
  • Support meetings, committees and boards, including coordinating papers and capturing actions.
  • Prepare and draft correspondence and supporting documents, and assemble information to brief colleagues as required.
  • Manage shared inboxes, prioritising and distributing electronic mail appropriately.
  • Act as a first point of contact, dealing with enquiries professionally and escalating where appropriate.
  • Receive and host visitors, maintaining a welcoming and professional environment.
  • Assist with the organisation of events and visits, including booking venues, arranging meetings, making travel arrangements and organising hospitality.
  • Liaise with staff within and outside the University on relevant matters, escalating sensitive issues where appropriate.
  • Undertake any other duties commensurate with the job grade as reasonably required to support continuity of service.
Work in accordance with university policies, including those relating to equality, health and safety and environmental standards.

Skills and experience

  • Educated to GCSE level or equivalent

  • Significant experience providing administrative support to senior colleagues with complex portfolios

  • Experience providing Personal Assistant support to senior managers

  • Experience of financial administration, including:

    • Purchasing

    • Raising purchase orders

    • Processing invoices

    • Interrogating financial data

    • Using SAP or other electronic finance systems

  • Excellent communication skills, with the ability to communicate ideas and plans clearly to a wide range of stakeholders (oral and written)

  • Proven ability to manage conflicting demands while maintaining deadlines and professionalism

  • Excellent attention to detail with high levels of accuracy

  • Reliable and self-motivated, able to work under limited supervision

  • Competent IT user, including experience with Microsoft Office

  • Diplomacy, political awareness, and the ability to handle sensitive issues confidentially

  • Excellent customer service skills

  • Ability to provide services to a diverse range of people, promoting equality and good relations
