Description
Role
The Educational Support Services team provides administration for School of Life Sciences courses and programmes. The key purpose of this role is to develop and manage the administrative processes and systems related to the School’s undergraduate programmes, thereby ensuring that an effective and supportive environment is provided to all students, staff and external contacts. This will involve providing support for administration of student records, student support, all areas of assessment and course and programme level processes, as well as contributing to other events in the student lifecycle, such as recruitment.
Duties and responsibilities
Role holders will assume an appropriate proportion of the responsibilities below, specialising where appropriate but flexibly covering duties to meet School needs and staff absences.
1) Student Administration
Manage and maintain accurate student records using systems such as SITS, Moodle and Tabula. Process course transfers, withdrawals, module registrations and diets, unusual option forms, and allocate personal tutors. Support induction and enrolment, including preparation of materials and information for current, prospective, Erasmus and exchange students. Maintain efficient office procedures and archive student data in physical and digital formats. Set up registers and monitoring points, record attendance data, monitor attendance, and liaise with staff and students regarding appropriate action. Process assessment extensions and self-certification requests.
2) Student Support
Act as an initial point of contact at Student Reception, responding to enquiries in a helpful, timely and appropriate manner and escalating where necessary. Provide advice on degree programmes, module registration, regulations, monitoring points, mitigating circumstances, assessment submission and the personal tutor system. Manage arrangements for students requiring reasonable adjustments. Record outcomes of mitigating circumstances claims, organise panels, communicate decisions and refer cases to the Senior Tutor as required. Contribute to student handbooks and communications.
3) Assessment
Set up and manage submission processes for assessed work (online and physical), ensure accurate recording of marks, and distribute feedback. Maintain and communicate deadlines and assessment procedures to markers and moderators. Keep accurate records of extensions, waivers, penalties, turnaround times and academic conduct outcomes. Support the checking, collection, recording, distribution and archiving of assessed work via physical and electronic systems. Coordinate documentation for markers and moderators. Support examination boards by organising meetings, preparing and distributing documentation, writing minutes and recording outcomes.
4) Course Administration
Support School events including open days (including occasional weekend work), induction, graduation and social activities. Provide administrative support for admissions, including organisation, communications, answering email enquiries and escalation where required. Coordinate, collate and publish module feedback and produce reports. Maintain web-based and learning platform content for teaching-related pages. Support teaching committees and panels by collating agendas and papers, writing minutes, maintaining web pages and following up actions.
5) Other Duties
Carry out general office duties such as printing, typing, photocopying and filing. Create and maintain documentation to enable effective staff cover. Undertake training to maintain knowledge of systems and procedures. Maintain awareness of information security protocols and apply them in all tasks. Develop relationships with academic and non-academic departments. Undertake any other duties reasonably requested to support the effective administration of the School.
Skills and experience
- Good standard of general education to at least A level standard or equivalent, including GCSEs or equivalent in Maths and English.
- Excellent communication skills both verbal and written, including producing written materials.
- A good understanding of general administrative processes and the importance of attention to detail.
- Excellent general IT skills (word processing, spreadsheets and email) including the ability to learn how to use new software packages rapidly (including bespoke University software
- The ability to communicate effectively with students from all backgrounds and with staff at all levels within the University.
- Ability to work collaboratively and build strong working relationships with colleagues.
- Ability to work on own initiative, managing multiple tasks and priorities with minimum supervision.
- Ability to learn new procedures rapidly and then apply them accurately and appropriately with strong attention to detail.
